Overview of the Role
The Operations Specialist plays a key operational role in the organization, supporting the daily coordination of the provincial transportation division. Reporting directly to the General Manager, you will coordinate the safe and efficient movement of milk throughout the province by monitoring daily schedules, resolving collection and delivery disruptions, and maintaining tracking data to support operational excellence.

As the Operations Support Specialist, you will apply your expertise in logistics and regulatory tracking to support the daily functions of the transportation division. You will ensure operational activities meet regulatory standards, assist in addressing stakeholder needs, and strengthen DFNL’s position as a trusted industry partner.

Your areas of responsibility will include, but are not limited to:

  • Transportation Operations Oversight In collaboration with the transportation schedule provider, oversee the planning and execution of milk collection and delivery schedules across Newfoundland and Labrador. Monitor daily operations to support reliable service, helping to minimize disruptions and optimize delivery times through effective communication with drivers and logistics partners.
  • Financial Reporting and Data Integrity: Maintain and update transportation division data within Excel-based tracking tools to ensure accuracy, consistency, and timeliness of information. Support the preparation of regular financial and operational reports by validating data, identifying discrepancies, and ensuring alignment across sources. Contribute to efficient and reliable reporting processes through strong attention to detail, organization, and continuous review of data quality and workflows.
  • Strategic Planning and Compliance: Develop and implement operational strategies and internal policies aligned with DFNL’s mandate and provincial/federal legislation. Continuously assess opportunities for improvement, innovation, and long-term efficiency gains in milk transportation.
  • Regulatory Tracking and Committee Support: Assist the General Manager in aligning internal operations with provincial and federal dairy legislation. Attend provincial and national committee meetings to track policy updates, synthesize key discussions, and drive the execution of resulting operational action items.
  • Vendor Liaison & Operations Support: Serve as the primary operational contact for third-party transportation service providers, tracking service delivery and coordinating equipment maintenance schedules and insurance documentation. Collaborate with internal departments to support routine quota tracking and maintain alignment with organizational priorities.
  • Quality Assurance Coordination: Monitor daily milk pick-up, sampling, and delivery practices across the province to help maintain product integrity. Review quality reports, track compliance with processor expectations, and assist the General Manager in resolving routine quality or sampling issues with haulers and farmers.

Ideal Candidate
  • Post-secondary education in business administration, agriculture, logistics, public policy, or a related field; an equivalent combination of education and experience will be considered.
  • 3+ years in a transportation, logistics, or supply chain operations role with increasing responsibility.
  • Highly self-directed with the ability to take initiative and manage competing priorities; exercises sound judgment in identifying when to act independently and when to seek guidance.
  • Proficiency in Microsoft Office Suite, with strong Microsoft Excel skills, including the ability to maintain and organize spreadsheets, use formulas and pivot tables, and support reporting and basic analysis.
  • Experience supporting budget tracking and financial reporting processes, including maintaining accurate data and assisting with departmental financial oversight.
  • Strong analytical skills with the ability to interpret data, identify trends or discrepancies, and support data-informed decision-making using Excel.
  • Experience working with transportation or operational cost data, including supporting basic rate analysis and forecasting, is considered an asset.
  • Strong organizational, time management, and problem-solving abilities.
  • Excellent interpersonal, written, and verbal communication skills.
  • Experience in agriculture or dairy industry and/or knowledge of provincial and federal transportation policies; is considered a strong asset.

  • A satisfactory background check.
  • Valid driver’s license and access to a reliable vehicle.
