Medical / Surgical Practice AdministratorOrthopedic Surgical Practice

Location: Waterdown, Ontario
Position: Full-Time
Work Arrangement: Primarily in-person, with some flexibility for remote work
Compensation: $26–$30/hour, depending on experience and suitability

We are seeking an experienced, highly organized, and professional Surgical Practice Administrator to join a busy orthopedic surgical practice in Oakville and Waterdown.

The successful candidate will work closely with the orthopedic surgeon and physician delegate and will play an important role in managing the day-to-day administrative operations of the practice. The candidate will also work along with other administrators who are also involved in the surgical practice.

The position includes medical administration, surgical coordination, patient service, office organization, and some executive/personal assistant responsibilities.

Key Responsibilities

  • Coordinate patient appointments, consultations, follow-ups, referrals, and surgical scheduling
  • Coordinate surgical bookings and communicate with hospitals, surgical facilities, patients, and healthcare providers
  • Manage medical correspondence, reports, charts, investigations, and patient follow-up
  • Answer telephone calls and respond to patient and physician inquiries
  • Provide excellent and compassionate customer service
  • Support the physician and physician delegate with administrative and clinical workflow
  • Assist with billing, forms, insurance documentation, and general office administration
  • Manage the physician's professional calendar and assist with selected personal and professional activities
  • Prepare correspondence, documents, and other materials as required
  • Maintain confidentiality and ensure accurate handling of patient information

Qualifications & Experience

Required:

  • Previous experience as a medical secretary, medical administrator, or administrator in a surgical practice
  • Experience working directly with a physician or surgeon
  • Excellent organizational and time-management skills
  • Ability to work independently with minimal supervision
  • Strong attention to detail and ability to manage multiple priorities
  • Excellent communication, team work and customer service skills
  • Strong computer skills, including electronic medical records and office suite.
  • Professional, reliable, proactive, and resourceful

Preferred:

  • Experience in an orthopedic or surgical practice
  • Experience with surgical booking and hospital coordination
  • Experience working with a physician assistant or delegate
  • Executive or personal assistant experience

The Ideal Candidate

We are looking for someone who takes ownership, works independently, anticipates what needs to be done, and keeps the practice organized and running efficiently.

Strong customer service and communication skills are essential, as the successful candidate will be a key point of contact for patients, physicians, hospitals, and other healthcare professionals.

Work Environment

This is primarily an in-person position in Waterdown, Ontario, with some opportunity for remote work when appropriate. Typical working hours will be during regular business hours, with some flexibility for the right candidate.

Compensation

$26–$30 per hour, depending on experience, qualifications, and suitability.
