Job Overview
We are looking for an experienced Client Excellence Coordinator to join our Gravenhurst team. Our Client Excellence Coordinators work closely with clients, keep client matters moving, manage deadlines and outstanding information, communicate with government agencies, coordinate workflow across the firm, and make sure clients and our professional team know what needs to happen next.

Responsibilities

  • You will work closely with our clients, accountants, bookkeepers and other team members and will help coordinate client matters from onboarding through completion. Your work will include:
  • Coordinating new client onboarding and ensuring required information and documentation are obtained;
  • Communicating regularly with clients by telephone, email and secure portal;
  • Following up with clients for outstanding information, signatures and other requirements;
  • Managing client workflows, deadlines, responsibilities and next actions in Karbon;
  • Maintaining complete, accurate and organized digital client files;
  • Communicating regularly with the Canada Revenue Agency (CRA), Service Canada, WSIB, the Ontario Business Registry and other government agencies and registries on behalf of clients;
  • Following up on government enquiries, correspondence and outstanding matters and accurately documenting calls, reference numbers, deadlines and next actions;
  • Coordinating signatures, E-filing, finalization and delivery of completed client documents;
  • Working closely with accountants and bookkeepers to make sure they have the information they need when they need it;
  • Identifying stalled files, missing information, approaching deadlines and other matters requiring attention;
  • Recognizing when a routine administrative matter has become a technical or professional issue that needs to be brought to an accountant or Partner; and
  • Using technology—including Microsoft 365, Karbon, Adobe Acrobat, government portals, cloud applications and approved AI tools—to work efficiently and improve how we serve clients.

Qualifications - This is an intermediate client-service and operations position, not an entry-level administrative role. In particular, we're looking for someone with:

  • Strong organization and priority-management skills;
  • Experience managing multiple responsibilities and deadlines at the same time;
  • Clear, professional written and verbal communication;
  • Confidence communicating directly with clients by telephone and email;
  • Strong attention to detail;
  • A demonstrated ability to follow matters through to completion;
  • The ability to identify missing or inconsistent information;
  • Strong working knowledge of Microsoft 365 and comfort with digital office technology;
  • The ability to learn new software and systems quickly;
  • The ability to handle confidential information professionally;
  • The judgement to determine reasonable next steps and recognize when something should be escalated; and
  • The ability to receive feedback, learn from it and change how you approach future situations.
  • A college diploma or university education in business, administration, office management, communications or a related area—or equivalent practical experience—is expected.
