Overview

Join our dynamic mental health team as a Medical Administrative Assistant, where your enthusiasm and organizational skills will play a vital role in delivering exceptional client experiences. In this energetic role, you'll be the friendly face at the front desk, managing client interactions, scheduling appointments, and ensuring smooth office operations. Your proactive approach will help create a welcoming environment while supporting our team with essential administrative tasks.

Responsibilities

  • Greet clients and visitors warmly, providing excellent customer service at the front desk
  • Manage systems to schedule appointments, answer inquiries, and relay messages efficiently
  • Maintain accurate electronic medical records using Jane system
  • Verify client insurance information and process billing or payment transactions accurately
  • Coordinate appointment scheduling and follow-up reminders to optimize provider schedules
  • Support clinicians by preparing documentation, updating patient charts, and managing correspondence
  • Handle administrative duties such as filing, data entry, and managing office supplies to ensure seamless daily operations

Requirements

  • Prior experience working as a receptionist or in a medical office setting is highly preferred
  • Familiarity with electronic medical records (EMR) systems such as Jane
  • Strong knowledge of mental health terminology to accurately interpret clinical information
  • Proven office experience with excellent organizational skills and attention to detail
  • Ability to operate phone systems confidently and professionally
  • Demonstrated experience in front desk responsibilities within a healthcare environment
  • Excellent communication skills and a friendly demeanor to engage with patients and team members effectively
