Job Summary

We are seeking an Administrative Project Support Coordinator for our Vancouver office. The successful candidate will possess strong communication abilities, excellent organizational skills, a keen attention to detail, and a readiness to handle a variety of responsibilities within a fast-paced, collaborative environment. Candidates who demonstrate adaptability, a commitment to continuous learning, and the ability to excel in a dynamic setting are encouraged to apply.

KEY RESPONSIBILITIES:

  • Organize, prepare, and update project/office documentation such as letters of assurances, transmittals, quality control and management forms, etc.
  • Support proposal development (RFQs/RFPs) in coordination with the engineering and business development teams.
  • Provide general administrative assistance, including answering phones, managing emails, planning business trip itinerary (flights, hotels, car rentals), scheduling meetings, and ordering office supplies.
  • Maintain organized filing systems for both digital and physical documents.
  • Support with job openings and closing procedures
  • Manage and renew all memberships, business licenses, and permits.
  • Acquire new job opportunities from websites such as BC Bid, Merx, etc.
  • Knowledge of building, updating, and maintaining websites, making recommendations for improvements.
  • Other general office duties as requested

QUALIFICATIONS

  • Bachelor’s Degree or Post-Secondary diploma in Marketing, Business Administration, Communications, or related field.
  • 1-3 experience in project support/administrative coordination or related roles.
  • Proficiency in Microsoft Office Suite and Adobe Suite.
  • Experience working in the engineering or construction industry will be an asset.
