Position Overview
The Club Manager is responsible for the overall management of the Club, including programs, operations, financial management, and staff and volunteer supervision. Reporting to the Director of Children’s Programs, the Club Manager ensures the delivery of high-quality programs and activities that align with the mission and values of BGC Greater Halifax.
Key Responsibilities
Programs
- Ensure programs and activities uphold the mission and values of BGC Greater Halifax and prioritize member safety.
- Maintain a clean, safe, and positive work environment.
- Deliver age-appropriate services that address the physical, medical, emotional, and social needs of participants.
- Promote healthy lifestyles, self-esteem, and teamwork through engaging and inclusive activities.
- Ensure special programs with designated funding are appropriately staffed, resourced, and evaluated to meet funding requirements.
- Monitor club resources (e.g., supplies, food, facilities) to support programs effectively.
- Conduct ongoing evaluations of club programs in collaboration with the Director of Children’s Programs.
- Build partnerships with community organizations, schools, and other local entities to optimize programming.
- Support and participate in Club-wide events, such as the Parade of Lights and fundraising initiatives.
- Prepare and maintain monthly Club reports, including expenses, program statistics, incidents, and impact stories.
- Supervise grant implementation, data collection, and reporting to the Director of Children’s Programs.
- Provide direct support to programs as needed, ensuring compliance with group ratio standards and behavior management practices.
- Ensure adherence to sign-in/out procedures, attendance tracking, and child safety protocols.
Human Resource Management
- Oversee recruitment, orientation, training, supervision, and performance management of all Club staff.
- Provide regular coaching and mentoring to ensure compliance with BGCGH policies on child engagement, discipline, and protection.
- Manage staff scheduling and accurate entry of staff hours into the payroll system.
- Foster a positive work environment through staff engagement, development, and regular team meetings.
- Mediate staff conflicts and consult the Director of Children’s Programs for support when necessary.
- Identify and recommend training and development opportunities for staff.
- Conduct probationary and annual performance evaluations for all staff members.
- Maintain OHS standards within the Club.
Communications
- Develop and maintain positive relationships with families, ensuring timely communication of key updates and program information.
- Promote Club programs and events in collaboration with the Communications Director.
- Ensure effective internal communication practices, including staff meetings, OHS measures, and emergency protocols.
Financial Management
- Monitor Club and program expenditures to ensure alignment with budget parameters.
- Submit monthly expense reports to the Bookkeeper.
- Maintain and manage the Club Visa card.
Student Placements and Volunteers
- Manage student and volunteer placements to ensure a mutually beneficial experience.
- Direct new volunteer and student inquiries to the Director of Children’s Programs for onboarding.
Transportation
- Schedule, clean, and secure the club bus, adhering to inspection schedules and reporting mechanical issues to the Director of Development and Communication.
Facility Security
- Ensure the security and maintenance of the Club facility.
Performance Measurements
- Adherence to organizational policies and procedures.
- Timely and accurate completion of monthly reporting requirements.
- Positive feedback from parents, members, and stakeholders.
- Achievement of program goals and objectives.
- High program registration and member retention rates.
- Low incident report and staff turnover rates.
Reports To: Director of Children’s Programs
This job description outlines the primary duties and responsibilities of the Club Manager but is not exhaustive. Additional duties may be assigned as needed to meet organizational objectives.
