Full job description

Overview
We are seeking a detail-oriented and organized Office Assistant to join our team. The ideal candidate will have experience in administrative tasks and possess strong communication skills.

Responsibilities:

Administrative Support

  • Calendar Management: Schedule and coordinate meetings, appointments, and travel arrangements for executives and field staff. Manage and prioritize their calendars, ensuring there are no conflicts and that they are aware of upcoming commitments.
  • Onboarding Support for New Employees:Assist with the onboarding of new employees, including coordinating required paperwork, training, system access, travel and accommodation details, and ensuring new hires have the information and support they need to get started smoothly.
  • Communication: Handle incoming and outgoing communications, including emails, phone calls, and correspondence. Draft, proofread, and edit documents and reports as needed.
  • Meeting Coordination: Organize and prepare for meetings, including arranging logistics, preparing agendas, taking minutes, and following up on action items.
  • Document Management: Maintain and organize files and records, both physical and digital. Ensure that documents are properly filed, stored, and accessible.
  • Travel Arrangements: Book and manage travel itineraries, including flights, accommodation, and transportation. Prepare travel expense reports and ensure timely reimbursement.

Project Management

  • Task Coordination: Assist in tracking and managing various projects and tasks. Ensure deadlines are met and help executives prioritize their workload.
  • Research: Conduct research on various topics as requested, including gathering data, preparing reports, and summarizing findings.

Personal Support

  • Errands: Run errands including picking up/dropping off mail and parcels, picking up parts
  • Confidentiality: Handle sensitive information with discretion and maintain confidentiality regarding executive matters.

Skills and Qualities

Previous experience as an administrative assistant is an asset.

  • Organizational Skills: Ability to manage multiple tasks efficiently and keep track of various responsibilities.
  • Communication Skills: Excellent written and verbal communication skills to interact effectively with executives, colleagues, and external contacts.
  • Problem-Solving Skills: Ability to anticipate needs and address issues proactively.
  • Technical Proficiency: Familiarity with office software (e.g., Microsoft Office Suite) and office equipment.
  • Adaptability: Flexibility to handle changing priorities and work in a dynamic environment.

Pay: $25.00-$30.00 per hour

Education:

  • Secondary School (preferred)

Experience:

  • Front desk: 1 year (preferred)
  • Administrative experience: 1 year (preferred)
