Position Overview

We are seeking a Office Admin/ Customer Service Coordinator to join our dynamic team

to maintain and develop customer experience and business relationship. This is a high-

impact customer support role that requires an understanding of the challenges and

needs of our clients looking for custom, scalable brand experience.

Key Responsibilities

1. Customer Support & amp; Client Relations

  • Serve as the primary point of contact for clients, visitors, and vendors, answering inquiries and resolving complaints with professionalism and empathy.
  • Route phone calls, respond to emails, and direct requests to the appropriate internal departments.
  • Process customer orders, maintain detailed records of interactions using

company CRM software, and ensure rapid, satisfactory problem resolution

2. Office Administration & Daily Operations

  • Oversee day-to-day office operations to maximize productivity and ensure a clean, welcoming workspace.
  • Manage office inventory and order replacement supplies, monitoring budgets to avoid interruptions in standard procedures.
  • Maintain both digital and physical filing systems, ensuring accurate, confidential data entry and records management.

3. Coordination & Support

  • Manage executive schedules, organize meeting rooms, and coordinate travel logistics.
  • Support the HR and Finance teams with basic bookkeeping (invoicing, tracking expenses) and employee onboarding.
  • Assist leadership and cross-functional teams with ad-hoc projects, reporting, and internal communications.

Ideal Candidate Profile

  • 3-5 years of successful B2B customer development experience, ideally in retail displays, fixtures, brand environments, or experiential marketing.
  • Strong communication skills, both verbal and written and fluency in English (must) – French is an asset.
  • Proven background as a Customer Service Representative or 4 equivalent customer facing role.
  • Developing long-term relationships leading to business growth
  • Provide technical support to customers and potential customers.
  • Comfort using MS Office and Quickbooks.
  • Communicating with Operations, Logistics and Design the customer’s intent.
  • Team player with the ability to collaborate effectively with colleagues.
  • College or University degree – business ideally
  • Monday to Friday (8:30 AM -5:00 PM), in office – travel to clients as required.
