The Outreach & Events team at NAS is responsible for organizing and overseeing external recruiting efforts at industry events, as well as managing studio-wide internal celebrations and morale-boosting events. The team is seeking a Coordinator for Outreach & Events who will play a key role in delivering unique, memorable experiences for both current employees and prospective talent. This position supports a diverse range of internal and external events, including studio town halls, project launches, and recruiting-focused programming at conferences, festivals, and expos.

As a key member of the NAS Outreach & Events team, you will collaborate with colleagues across all three studio locations. Your goal will be to ensure equitable experiences across all three locations, while addressing the unique needs of each local NAS community to make sure every interaction with NAS – whether onsite, online, or at industry events – reflects our inclusive, creative culture.

The ideal candidate is dynamic, thoughtful, and detail-oriented, with a collaborative approach and strong planning skills. The right person for this role should demonstrate creative problem-solving abilities and effectively manage multiple events simultaneously while maintaining a level head.

What You’ll Do

  • Event Planning & Execution : Organize, facilitate, and manage all event details (decor, catering, entertainment, transportation, location, guest lists, special guests, equipment, promotional materials, etc.).

  • Outreach & Engagement : Support outreach strategies by coordinating internal and external visits, portfolio critiques, conferences, festivals, academic events, workshops, and related initiatives. This includes planning and scheduling travel and accommodation logistics.

  • Cross-functional Collaboration : Coordinate with cross-functional teams, such as Corporate Events, Workplace, AV, Media, and Creative, to ensure seamless setup and execution of all on-site and off-site events and outreach initiatives.

  • Communication & Follow-up : Manage invitations, calendars, and follow-up communications for all relevant events. Ensure timely and accurate information is provided to all stakeholders.

  • Logistics & Inventory : Oversee inventory management, including swag, signage, and name badges, as well as general ordering. Assist with on-site event coordination and respond to emails in shared inboxes.

  • Continuous Improvement : Consistently enhance and innovate events and outreach strategies by contributing new ideas and supporting their implementation.

  • Ad-hoc Support : Provide general support for additional events and outreach activities as required.

What You’ll Need

  • Relevant Experience : 2+ years of experience coordinating events, talent outreach, or production logistics, ideally within a feature animation or VFX studio, gaming company, or a fast-paced creative agency environment.

  • Industry Savvy : A strong passion for the animation landscape, with a foundational understanding of studio pipelines, artist workflows, and industry events/festivals.

  • Project Management : Demonstrated organizational and multitasking skills, with the ability to manage multiple overlapping timelines seamlessly.

  • Communication : Excellent written and verbal communication skills, with a professional, inclusive, and approachable tone.

  • Collaboration : Experience collaborating across various levels of an organization, building trust, and fostering teamwork.

  • Creativity & Initiative : A creative thinker with sharp attention to detail and the ability to work independently with minimal supervision.

  • Adaptability : Comfortable responding quickly to shifting priorities, new information, and evolving studio strategies.

  • Technical Skills : Proficient with Google Drive/Workspace and modern event management or CRM tools, with strong attention to data accuracy.

  • Flexibility : Willingness to travel (up to 30%) and work occasional non-traditional hours based on event schedules.

This role is based in Vancouver, British Columbia. Hybrid Role (Minimum requirement of 3 days a week in the office).

At NAS, we carefully consider a wide range of compensation factors to determine your compensation. We rely on market indicators and consider your specific job family, background, location, skills, and experience. The overall market range for this role is typically $21 - 30 CAD per hour. This reflects total compensation; we do not have bonuses.
