Full job description

Air Unlimited Inc. is seeking a highly organized and self-motivated Administrative Assistant to join our team. The successful candidate will have strong communication skills, excellent attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

This role plays a key part in supporting daily operations across service, parts, and administration while contributing to the company’s professional image and customer satisfaction.

Duties and Responsibilities:

  • Answer and assess incoming service calls, gather required information, and accurately communicate service details to technicians
  • Ensure service work orders are properly created, updated, and completed in a timely manner
  • Maintain the Preventative Maintenance (PM) program, including scheduling, tracking, and preparing PM quotations
  • Provide administrative support to the Parts Department, including assisting with sales documentation, quote logs, order tracking, and purchasing coordination
  • Work closely with the Service Department following the signing of Preventative Maintenance contracts
  • Assist with shipping and receiving documentation and coordination as required
  • Prepare invoices, process paperwork, and support basic accounting functions
  • Maintain accurate records in company systems and databases
  • Assist with filing, document control, and general office organization
  • Support internal reporting and data entry as required
  • Greet customers and provide professional front-office support when needed
  • Perform other related administrative duties as assigned

Skills and Qualifications:

  • Strong organizational and time management skills
  • Detail-oriented with the ability to work under pressure and meet deadlines
  • Effective verbal and written communication skills
  • Strong interpersonal and customer service skills
  • Proficient in Microsoft Office (Excel, Word, Outlook)
  • Experience with Sage Business Vision or other accounting software is considered an asset
  • Ability to multitask and support multiple departments effectively
