Overview
The Officer, Student Registration and Success, is responsible for providing administrative and support services to students throughout their academic journey. The officer serves as a resource for students, helping them navigate the College’s processes, address challenges; and develops strategies for academic and personal success in collaboration with other related student services departments. The Officer participates in reviewing and developing policies related to student success and conduct; and assists with student complaints and case management.
The incumbent, under the directives of the Registrar, prepares and coordinates the class and final exam schedules, and keeps course and program information up to date on various platforms used by the Office of the Registrar. Additionally, the officer is responsible for setting up the Student Information and Registration System – MyLION and keeping enrolment-related information accurate, and for overseeing course registration for special programs.
Functional Reporting Relationships:
The Officer, Student Registration and Success, reports to the Registrar of the Colleges and works collaboratively with the other members of the Registrar’s office and other student services departments.
Expectations and Responsibilities
A. Registrarial Services
- Maintains accurate course offerings, catalogues, course records, and related information across MyLION, websites, and other platforms.
- Coordinates course and examination schedules, classroom assignments, utilization, and resolution of scheduling conflicts.
- Processes and monitors student registrations, including eligibility, prerequisites, registration status, course changes, and course openings/closures.
- Creates and maintains MyLION accounts and manages faculty and staff access to student information and registration systems.
- Responds to inquiries from students, faculty, staff, prospective students, and external partners and coordinates registration, fee, and sponsorship-related matters.
B. Student Success Services
- Provides guidance to students on academic policies, procedures, academic standing, concessions, and other administrative matters.
- Monitors academic probation and student progress and connects students with appropriate academic and support resources.
- Receives and supports the review, investigation, and resolution of student complaints, appeals, and disciplinary matters.
- Identifies student needs and service gaps, analyzes student feedback and data, and recommends improvements to support student success and retention.
- Supports the development, review, and updating of student policies, procedures, handbooks, and student success initiatives.
C. General Administrative Tasks
- Assists the Registrar with reports, correspondence, records, and documentation for internal and external stakeholders.
- Supports student orientation and prepares communications and materials that promote student success and retention.
- Assists with the creation, revision, and maintenance of office forms, procedures, and administrative resources.
- Participates in departmental projects and initiatives that support the effective operation and continuous improvement of the Registrar’s Office.
- Provides general administrative and operational support to the Registrar and performs other related duties as assigned.
Qualifications and Skills
· An undergraduate degree with a minimum of three years of experience working in a Registrar’s Office or professional setting. An equivalent combination of education and experience will be considered.
· Highly organized, detail-oriented and accurate
· Proficiency with the Microsoft Office Suite.
· Advanced ability to communicate effectively both verbally and in writing.
· Ability to deal courteously and tactfully with faculty, staff, students, and members of the public.
· Ability to work cross-functionally across the organization.
· Ability to plan, organize and prioritize tasks and meet deadlines, maintain accuracy and pay attention to detail.
· An understanding of privacy legislation and the requirement to ensure absolute confidentiality of personal information is always maintained.
