- Has strong knowledge of medical terminology to accurately interpret clinical notes and communicate with staff and patients.
- Has prior experience in a medical office environment and is familiar with healthcare workflows.
- Has strong experience in technology-focused roles, ideally in a technology-driven clinic setting, and is proficient with electronic medical records systems.
- Is comfortable multitasking across multiple software platforms and open browser tabs in a fast-paced environment.
- Learns effectively through visual resources and step-by-step demonstrations, and isn't afraid to ask questions while ramping up.
- Communicates with empathy, clarity, and professionalism in every interaction.
- Understands the importance of strict confidentiality regarding patient information (PHIPA/PIPEDA compliance).
Key Responsibilities
Your role is the face and voice of the clinic, shaping every patient's first impression and day-to-day experience.
Your duties will include:
Front Desk & Scheduling: Greeting patients warmly and managing appointment scheduling, rescheduling, and cancellations to optimize clinic flow.
Records & Documentation: Managing electronic medical records with precision, preparing and updating patient charts, and ensuring all information is current, accurate, and confidential.
Insurance & Billing Support: Verifying insurance details, collecting necessary documentation, and processing payments to support smooth billing.
Provider Coordination: Coordinating communication between patients and healthcare providers, including follow-up appointments and test results.
Phone & Inquiry Management: Handling phone inquiries, responding to patient questions, and routing calls appropriately.
System Management: Working across Clinicmaster (or comparable EMR) and other clinic platforms simultaneously.
Compliance: Ensuring compliance with healthcare regulations and confidentiality standards at all times.
