About Us

Sooke Harbour House is an iconic Vancouver Island boutique hotel overlooking the Juan de Fuca Strait. With a renewed vision, refreshed brand direction, and major growth planned for weddings and private events in 2025 and beyond — we are now hiring an experienced Events Coordinator to join our hospitality leadership team.

The Role

The Events Coordinator is responsible for planning, coordinating, and executing weddings and private events, ensuring a seamless guest experience from initial inquiry to post-event follow-up. This role will work closely with Sales, F&B, Rooms, Culinary, and Marketing to ensure our vision, standards, and guest experience are delivered consistently.

Wedding experience is required — this will be a major growth area for Sooke Harbour House for the coming year.

Responsibilities

  • Manage all incoming event & wedding inquiries, site tours, proposals, and bookings
  • Create, update, and manage Banquet Event Orders (BEOs) and event timelines
  • Act as the main point of contact for wedding couples, event clients, and vendors
  • Coordinate event logistics between FOH, BOH, Rooms, and Hotel Operations
  • Finalize event invoices, proposals, contracts, and deposits
  • Oversee day-of execution to ensure events run smoothly and according to guest expectations
  • Develop and maintain preferred vendor lists (catering add-ons, rentals, floral, entertainment, officiants, etc.)
  • Support the growth and scaling of weddings and events as a major revenue channel

Requirements

  • Minimum 2 years event coordination or wedding planning experience
  • Strong wedding portfolio — must have directly coordinated weddings previously
  • Exceptional attention to detail and guest communication
  • Highly organized, deadline-driven, and outcomes focused
  • Able to work evenings/weekends when events are scheduled
  • Strong written communication skills (contracts / quotes etc.)
