Position Summary

The Executive Assistant provides high-level administrative support to senior executives, ensuring smooth day-to-day operations and efficient workflow. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

  • Manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Serve as a liaison between executives and internal/external stakeholders.
  • Handle confidential information with professionalism and discretion.
  • Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
  • Collaborate with EA for CEO on coordination of executive-level events, conferences, and team offsites.
  • Act as the primary point of contact for the executive team, handling inquiries and directing them appropriately.
  • Build and maintain strong relationships with key stakeholders, both internally and externally.
  • Assist with special projects, research, and data analysis as needed.
  • Monitor and prioritize tasks, ensuring deadlines are met.
  • Support budget tracking and expense reporting.
  • Oversee office operations and coordinate with administrative staff to ensure smooth workflow.
  • Assist in procurement and management of office supplies and equipment.

Qualifications and Skills

  • Completed education in Executive Business Administration.
  • 3+ years of experience as an Executive Assistant or in a similar role.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
  • Ability to work independently and handle multiple priorities.
  • High level of discretion and professionalism in handling sensitive information.
