POSITION SUMMARY
The IT Associate plays a critical role in supporting DarkSky’s day-to-day technology operations and internal systems under the strategic direction of the CTO. This position is responsible for administering core platforms, supporting staff technology needs, maintaining data integrity, implementing project plans, and executing documented processes that enable stable, secure, and efficient digital operations.
The ideal candidate is curious, detail-oriented, service-minded, and organized, with a passion for supporting the digital and technical systems that drive the organization's mission forward.

DarkSky supports a global network of advocates, delegates, and chapters to develop and implement effective lighting policies at local and regional levels and to grow awareness about light pollution through monthly events and the production and distribution of outreach materials. KEY RESPONSIBILITIES
1. Systems Administration & Data Management (60%)
- Responsible for day-to-day technical administration and serving as the primary internal point of knowledge for IT management, in coordination with the CTO and external vendors.
- Support website content management tasks, including updates, content hygiene, and coordination with relevant staff and vendors to keep digital properties accurate and current.
- Ensure accuracy, consistency, and integrity of organizational data, including user accounts, permissions, records, and system configurations.
- Pull routine reports, analyses, and operational dashboards to support internal metrics and leadership requests.
- Implement documented workflows, configurations, updates, and maintenance tasks across systems.
- Maintain clear documentation of system processes, configurations, and operational procedures.
- Provide first-line technical support to staff, sharing updates, troubleshooting issues and escalating complex matters as needed.
2. Administrative & Office Technology Support (10%)
- Support execution of IT-related projects and initiatives planned by the CTO, including upgrades, migrations, audits, or tooling changes.
- Assist with vendor coordination tasks such as scheduling, access provisioning, license tracking, and renewals.
- Maintain inventories of hardware, software, and accounts.
- Support office technology operations, including device setup, connectivity issues, and coordination with landlords or service providers.
- Assist with basic budget tracking and expense documentation related to technology tools and services.
- Serve as the primary administrative support for the Chief Technology Officer, including scheduling meetings and managing calendars.
- Maintain organization of digital files, ensuring easy access to key documents.
3. Cross-Departmental Support & Special Projects (30%)
- Work with colleagues across departments to ensure systems are used consistently and effectively.
- Support implementation of process improvements, data hygiene practices, and system integrations identified by the CTO.
- Assist with testing, configuration, and rollout of new tools or features.
- Support staff onboarding and offboarding from a systems and access perspective.
- Participate in special projects that improve reliability, usability, security, or operational efficiency, as scoped and prioritized by the CTO.
WORK HOURS, SCHEDULE & FLEXIBILITY
This position usually works weekdays. However, because of the global nature of the constituency served, there is flexibility in scheduling if the organizational needs are adequately addressed. There may be some evening or weekend events that will require attendance to support events or meet deadlines. Travel to and within the United States may be required.

REQUIREMENTS
- Bachelor’s degree or equivalent experience in information technology, systems administration, data management, digital marketing or a related field.
- Two years of experience in IT/systems support or administrative support preferred.
- Proficiency in using standard office software and digital tools, with the ability to quickly learn new technologies as needed. Examples include project management software, CRM platforms, Google Suite/Microsoft office products, Adobe Acrobat, CANVA, etc.
- Strong organizational skills and ability to follow documented processes while managing multiple priorities.
- Excellent internal customer service skills with a calm, solutions-oriented approach.
- High attention to detail and commitment to data accuracy and documentation.
- Excellent written and verbal communication skills, including the ability to explain technical issues to non-technical users.
- Ability to work independently while also being a collaborative team player.
- Commitment to DarkSky’s mission and to building stable, sustainable internal systems.
COMPENSATION AND RETIREMNT PLAN
This is a full-time, paid, exempt position. Salary range is CA$79,480.00 - CA$82,100.00 per year depending on experience. This position is eligible to participate in our variable compensation plan. If organizational and individual goals are met and/or exceeded, the employee could earn a 10% increase in annual salary. DarkSky has a RRSP retirement plan with a company match.
LOCATION AND WORK ENVIRONMENT
This is an remote position from the USA or Canada.
