Our staff enjoy coming to work, and many have been with us for several years—a reflection of the supportive culture we’ve built.

We’re looking for someone who enjoys working with people, thrives in an organized environment, and takes pride in being the friendly face and voice that welcomes our clients.

About the Role

As our Client Services Administrator, you’ll be the first point of contact for our clients—whether they’re walking through our front door or calling our office. This role is essential to creating an exceptional client experience while helping keep our office running efficiently behind the scenes.

We’re looking for someone who is warm, professional, highly organized, and able to work independently. You’ll notice the little things, enjoy keeping everything in order, and genuinely like helping people.

Responsibilities

Responsibilities include, but are not limited to:

· Greeting clients and creating a welcoming, professional first impression

· Answering incoming phone calls and directing them to the appropriate team member

· Learning our pricing structure and providing basic quotes to prospective clients

· Managing the office administration email inbox

· Booking client appointments and meetings

· Printing, preparing, and distributing client correspondence

· Obtaining electronic signatures on documents

· Making friendly accounts receivable collection and follow-up calls

· Contacting clients regarding outstanding information and document requests

· Organizing, maintaining, and tracking physical client records

· Maintaining accurate client information within our electronic database

· Ordering office supplies and monitoring office inventory

· Performing general office organization and light cleaning to maintain a professional environment

· Assisting with monthly client newsletters alongside management

· Providing administrative support to the accounting team as required

The Ideal Candidate

You are someone who:

· Enjoys working with people and providing outstanding customer service

· Presents yourself professionally

· Is warm, approachable, and confident communicating with clients

· Is exceptionally organized and takes pride in keeping things running smoothly

· Can work independently and identify what needs to be done without constant direction

· Has strong attention to detail

· Communicates professionally, both verbally and in writing

· Learns new software and systems quickly

· Enjoys being part of a collaborative team

Qualifications

Required:

· Minimum one year of administrative experience

· Excellent written and verbal communication skills

· Strong spelling and grammar

· Proficiency with Microsoft Word, and Excel

· Strong organizational and time-management skills

Experience with the following software is considered an asset (training will be provided where required):

· QuickBooks Online

· Caseware

· CCH iFirm

Compensation & Benefits

· $20.00–$23.00 per hour, depending on experience

· Permanent part-time position (24 hours per week)

· Additional hours available during peak tax season, particularly in April

· Three weeks of vacation accrued annually

· Health Spending Account after three months of employment

· Stable, year-round employment with a supportive local business

· Opportunity to grow within the organization
