Job Title: Tenant Services Specialist

Summary: We are seeking a proactive and detail-oriented professional to join our team as a Tenant Services Specialist. This role serves as the primary point of contact for tenant communications across all properties, ensuring timely support, effective issue resolution, and a high level of tenant satisfaction. The position also supports administrative and operational functions, contributing to a smooth and efficient property management environment.

Key Responsibilities:

  • Respond promptly and professionally to tenant inquiries via phone and email;
  • Assist tenants with general inquiries, complaints, and support requests;
  • Provide clear guidance on internal systems (e.g., submitting maintenance requests);
  • Assess, prioritize, and escalate urgent maintenance or operational issues;
  • Coordinate with internal teams and external vendors for maintenance and service requests;
  • Follow up to ensure timely resolution and tenant satisfaction;
  • Maintain accurate documentation of tenant interactions, requests, and actions taken;
  • Support delivery, tracking, and management of fobs/keys;
  • Prepare, draft, and distribute tenant communications (e.g., notices, rent increases, updates);
  • Support administrative processes, including managing requests, tracking tasks, and ensuring completion of outstanding items;
  • Provide a high level of customer service, ensuring a positive and professional tenant experience;
  • Support ad hoc projects and additional operational initiatives as required.

Qualifications (Required):

  • High school diploma or equivalent (post-secondary education is an asset);
  • Previous experience in customer service, administration, or operations;
  • Strong ability to handle high-volume communication (calls and emails);
  • Valid driver’s license and access to a reliable vehicle;
  • Experience with property management systems (e.g., Yardi or similar) is considered an asset;
  • Bilingual (English/French) is considered an asset.

Expected hours: 40.0 per week
