Position Overview

True North DPO is looking for an experienced and detail-oriented Payroll Specialist to support payroll administration across our growing network of dental practices.

The Payroll Specialist will be responsible for the accurate and timely processing of payroll, maintaining employee payroll records, managing payroll changes, reconciling payroll data, and responding to payroll-related questions from employees and practice leaders.

This is an ideal opportunity for someone who enjoys working independently, takes pride in accuracy, and thrives in a fast-paced, multi-location environment. The successful candidate will be highly organized, responsive, and comfortable managing payroll for multiple practices and employee groups.

Key Responsibilities

  • Manage and process full-cycle payroll accurately and on schedule for employees across multiple dental practices and corporate functions
  • Review and validate employee hours, earnings, deductions, vacation pay, bonuses, commissions, and other payroll-related information
  • Process new hires, terminations, salary and wage changes, leaves of absence, and other employee payroll changes
  • Maintain accurate and confidential employee payroll records
  • Review payroll prior to submission and identify and resolve discrepancies
  • Prepare payroll reconciliations and reports and ensure payroll information aligns with Finance and accounting records
  • Respond to employee and manager payroll inquiries in a timely, professional, and confidential manner
  • Prepare and process Records of Employment (ROEs) and other payroll-related documentation
  • Support year-end payroll activities, including T4 preparation and reconciliation
  • Ensure compliance with applicable payroll legislation, employment standards, CRA requirements, and company policies
  • Coordinate with Finance, HR/Talent, Operations, and practice leaders to ensure payroll information is complete and accurate
  • Assist with payroll-related reporting, audits, reconciliations, and documentation
  • Identify opportunities to improve payroll processes, controls, accuracy, and efficiency
  • Support the integration and onboarding of payroll processes for newly acquired practices
  • Maintain a high level of confidentiality when handling employee and compensation information

Qualifications

  • 3+ years of hands-on payroll experience, ideally within a multi-location or multi-entity organization
  • Demonstrated experience managing full-cycle payroll
  • Strong knowledge of Canadian payroll practices, CRA requirements, payroll deductions, taxable benefits, vacation pay, and employment standards
  • Experience preparing ROEs, T4s, payroll reconciliations, and year-end payroll documentation
  • Strong proficiency with Microsoft Excel and/or Google Sheets
  • Excellent attention to detail and a high degree of accuracy
  • Strong organizational and time-management skills with the ability to meet strict payroll deadlines
  • Excellent written and verbal communication skills
  • Strong problem-solving skills and the ability to investigate and resolve payroll discrepancies independently
  • Ability to handle sensitive and confidential information with professionalism and discretion
  • Comfortable working independently in a remote environment while collaborating closely with a broader team

Preferred Skills

  • Payroll Compliance Professional (PCP) designation or working toward a payroll designation is an asset
  • Experience processing payroll for a multi-location healthcare, dental, retail, or professional services organization
  • Experience supporting payroll through acquisitions, new locations, or organizational growth
  • Experience with payroll and HRIS platforms
  • Experience working with hourly, salaried, and variable compensation structures
  • Strong understanding of Ontario employment standards and payroll requirements

Compensation

  • Salary Range: $60,000–$70,000
  • Compensation is commensurate with experience and skills.
