Legal Assistant / Paralegal (Full-Time)

We are seeking a highly organized, detail-oriented Legal Assistant / Paralegal to join our growing legal team. This role is ideal for someone with a strong work ethic, excellent communication skills, and the ability to support lawyers in a fast-paced environment.

About the Role

As a Legal Assistant / Paralegal, you will assist lawyers in managing personal injury and civil litigation files. You will handle a variety of administrative, clerical, and legal tasks to ensure files move efficiently and clients receive exceptional service.

This role requires strong attention to detail, excellent time management, and the ability to prioritize tasks effectively.

Key Responsibilities

File & Document Management

  • Open, organize, and maintain client files (physical and digital)
  • Draft, proofread, and format legal documents, correspondence, and court forms
  • Monitor deadlines and limitation dates, ensuring all timelines are met
  • Prepare litigation materials, briefs, and affidavits

Client Support

  • Communicate with clients, insurance adjusters, medical providers, and opposing counsel
  • Schedule meetings, medical appointments, assessments (IMEs), questionings, and mediations
  • Provide updates to clients and assist with gathering information or documentation

Case Management Support

  • Assist with preparing claims, statements of claim, undertakings, and settlement documents
  • Organize medical records, billing summaries, and supporting documentation
  • Prepare files for Questioning, Mediation, and Trial preparation

Administrative Duties

  • Manage calendars for lawyers and ensure critical dates are tracked
  • Handle incoming and outgoing mail, emails, and phone calls
  • Support billing, payments, and document requests as required
  • Assist with general office duties as needed

Qualifications

We are looking for candidates who have:

  • Legal Assistant or Paralegal diploma/certificate (required)
  • 1–3 years of experience in a law firm—or equivalent practicum/internship
  • Strong written and verbal communication skills
  • Excellent organizational skills with the ability to manage busy workloads
  • Proficiency in Microsoft Office and legal software (experience with Filevine is an asset)
  • Strong attention to detail and ability to meet tight deadlines
  • Professionalism, discretion, and a client-focused mindset
