Your Opportunity

The Operations Coordinator reports to the Manager, Security and Emergency Management and provides essential operational support to ensure the effective delivery of departmental services. Responsibilities include maintaining security systems, monitoring and reviewing incident and shift reports, preparing incident documentation to support investigations, managing campus access and key distribution, and supporting incident response activities.

The role requires careful handling of security service requests, incident records, CCTV footage, and access control data, often in sensitive or complex situations, requiring sound judgment, attention to detail, and a measured, professional approach.

Functions and Duties

1. Provides front office administrative and customer support for issues and inquiries related to security and parking services. Addresses inquiries and handles complaints with professionalism. Investigates issues, provides guidance and offers solutions.

2. Contributes to the development, implementation and enforcement of access control policies and procedures.

3. Manages security service requests for campus access and key distribution for all campuses. Responsible for assigning, revoking, and managing user access based on established policies and procedures.

4. Accountable for maintaining accurate records of keyholders, electronic credentials and access control activities.

5. Provides training and support to users on how to use access control systems, including keycards, mobile credentials and related software and hardware applications and compliance to operating procedures and policies.

6. Monitors and reviews security shift summary and incidents reports to ensure proper documentation, and resolution. This includes creating work orders to address reported deficiencies and preparing incident reports for escalation and to support further investigation.

7. Supports security investigations by collecting relevant documentation and evidence such as CCTV recordings and access control logs’, organizes and files incident reports and supporting documentation according to department procedures.

8. Monitors and administers the Security Operations environment including CCTV, intrusion detection, and access control. Conducts daily system checks and generates detailed reports and conducts comprehensive reviews to ensure the security infrastructure is operating efficiently, identifies faults, and coordinates repairs to resolution.

9. Supports the Ancillary and Business services department through continuous improvement of systems and processes including the development and administration of department standard operating procedures, operations and maintenance plans, asset inventory, templates, forms, records management, reports, and task management tools.

10. Proactively contributes to the creation and enhancement of emergency management programs, including organizing and facilitating emergency drills and response simulations.

11. Supports Parking operations including the online parking management system and record keeping including parking signage, equipment, disputes as well as permit purchases, refunds, and monthly reporting; coordinates with college departments and external partners as required.

12. Develops and maintains effective communication between portfolios, divisions and departments in matters related to security and emergency management. Provides follow to inquiries from the College community ensuring their needs are met.

13. Performs other duties and special projects as assigned by the Manager, Security and Emergency Management.

Education and Experience

  • Requires completion of a Bachelor’s or Associate degree.
  • Minimum five years experience in an office administration or operations center role.
  • Experience working with integrated security monitoring systems for surveillance, access control and intrusion detection is considered an asset.
  • Experience with Genetec Security Platform considered an asset.

Skills and Abilities

  • Technically competent – advanced skills in standard office software and online collaborative platforms and proficiency in other specialized software applications.
