Medical Office Assistant

Northway Health | Full-Time Opportunity | Winnipeg, Manitoba

Build your experience. Make a difference in healthcare.

Are you an organized, adaptable, and people-focused professional who enjoys variety in your workday? Northway Health is looking for a Medical Office Assistant to join our growing healthcare team!

This is more than a traditional medical office administrative role. You'll work alongside a variety of healthcare professionals, support multiple clinic locations, and help coordinate the day-to-day activities that keep our healthcare services running smoothly.

From supporting patients and managing appointments to coordinating vaccine clinics, health services, and special projects, no two days will necessarily look the same. If you enjoy staying busy, taking initiative, and being part of a collaborative team, this could be a great opportunity for you.

What You'll Be Doing

Working under the direction of the Director of Health, you'll provide administrative and operational support to our healthcare professionals across multiple clinic locations.

Your responsibilities will include:

  • Patient & Front Desk Support: Welcome patients, manage incoming calls and inquiries, schedule appointments, coordinate referrals, and provide a positive patient experience.
  • Medical Office Administration: Maintain accurate patient records, update electronic medical records (EMR), prepare documentation, and support daily clinic operations.
  • Clinical Support: Assist with patient intake, rooming patients, taking vital signs, preparing exam rooms, and supporting healthcare providers as needed.
  • Clinic & Service Coordination: Help organize and coordinate vaccine clinics, training sessions, and other healthcare services, including bookings, consent forms, attendance records, reporting, and follow-up.
  • Multi-Location Support: Travel between clinic locations to provide administrative and operational support where needed.
  • Team Collaboration: Work closely with healthcare professionals and colleagues to identify needs, resolve issues, and ensure services run efficiently.
  • Confidentiality & Compliance: Maintain accurate records and ensure patient information is handled in accordance with PHIA and organizational requirements.

What We're Looking For

We're looking for someone who is dependable, organized, comfortable juggling multiple priorities, and genuinely enjoys working with people.

You will bring:

  • Previous experience in a medical office, healthcare, pharmacy, or administrative coordination environment.
  • Strong communication and interpersonal skills, with a friendly and professional approach.
  • Excellent organizational skills and attention to detail.
  • Comfort using technology and Microsoft Office applications.
  • The ability to work independently, take initiative, and adapt to changing priorities.
  • A collaborative attitude and willingness to support different healthcare professionals and clinic teams.
  • A commitment to patient confidentiality and delivering quality service.

Experience & Education:

  • A Medical Office Assistant diploma or certificate is an asset; an equivalent combination of education and experience will be considered.
  • Approximately 2 years of relevant healthcare, pharmacy, medical office, or administrative experience is preferred.
  • Previous experience coordinating appointments, clinics, events, or healthcare services is an asset.
  • Experience with Accuro or another electronic medical records (EMR) system is an asset.

What Makes This Opportunity Different?

  • Variety in Your Workday: Work with different healthcare professionals and support a range of medical services.
  • Flexible Work Environment: Primarily weekday daytime hours, with occasional opportunities to work remotely.
  • Meaningful Work: Play an important role in helping patients access healthcare services and supporting the people who provide their care.
  • Growing Organization: Be part of an expanding healthcare division with opportunities to learn, contribute, and develop your skills.
  • Collaborative Team: Work alongside a supportive team that values communication, initiative, and continuous improvement.

Schedule & Requirements

  • Predominantly Monday–Friday daytime hours.
  • Very occasional evening or statutory holiday work may be required.
  • This position supports multiple clinic locations throughout Winnipeg, so regular travel between locations is required.
  • A valid driver's license and reliable daily access to a vehicle are required.

Compensation: Wages based on experience and qualifications.

If you're someone who enjoys a varied role, takes pride in keeping things organized, and wants to contribute to a growing healthcare team, we'd love to hear from you!
