ADMINISTRATIVE COORDINATOR PAB / LPN

POSITION SUMMARY

The Administrative Coordinator with PAB/LPN experience is responsible for coordinating home care services, supporting employees, communicating with customers and healthcare professionals, and ensuring quality client care. This role combines healthcare knowledge with administrative and scheduling responsibilities to support the efficient delivery of services.

KEY RESPONSIBILITIES

Client Care & Service Coordination

  • Conduct assessments and evaluations for new and existing clients.
  • Develop, implement, and update individualized client service plans.
  • Monitor client needs and ensure services are delivered according to established care plans.
  • Track and document medical appointments and other relevant client information.
  • Communicate with customers, clients, families, social workers, and other healthcare professionals to ensure continuity of care.

Scheduling, Administration & Employee Support

  • Coordinate employee schedules, vacation coverage, replacements, weekend coverage.
  • Assign and distribute service hours based on client needs and employee availability.
  • Answer and manage incoming phone calls, emails, and customer inquiries in a professional and timely manner.
  • Maintain accurate and confidential client records.
  • Prepare reports, correspondence, and other administrative documents.
  • Communicate company updates, policies, procedures, and service-related information to employees.
  • Provide guidance and support to employees and respond to urgent situations and emergencies.
  • Assist with daily office operations and ensure timely follow-up on customer, client, and employee requests.
  • Participate in the company's after-hours emergency phone rotation as required.

QUALIFICATIONS

  • Diploma as a Personal Care Attendant (PAB) and/or Licensed Practical Nurse (LPN).
  • Minimum of 3-year experience in healthcare coordination, customer service, or a related field.
  • Fluently bilingual in English and French (spoken and written) is required.
  • Excellent organizational, communication, and problem-solving skills, with the ability to effectively manage multiple priorities while maintaining a high level of accuracy and attention to detail.
  • Excellent proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) along with database skills.
