Join Our Team at Three Farmers Foods as a Production and Maintenance Coordinator

About the Role:

Three Farmers Foods is seeking a dedicated and experienced Production and Maintenance Coordinator who is a key member of the Operations team responsible for ensuring that manufacturing activities run efficiently, safely, and without interruption. This role connects production scheduling, maintenance planning, inventory control, and material readiness into one coordinated workflow that supports day-to-day execution on the plant floor.

Primary Responsibilities:

Production Planning & Work Order Coordination

  • Create, review, release, and maintain production work orders within the ERP system.
  • Coordinate production schedules based on demand requirements, production capacity, and material availability.
  • Monitor production progress and update work order status throughout the manufacturing process.
  • Ensure production work orders are accurately completed and closed in the ERP system.
  • Investigate and resolve work order discrepancies or system issues.

Material Planning & Inventory Coordination

  • Coordinate material picks with Warehouse personnel to support production schedules.
  • Ensure all required raw materials and packaging components are available prior to production.
  • Track material consumption and support accurate inventory transactions.
  • Coordinate return of unused materials to inventory.
  • Assist with inventory adjustments and material reconciliations.

Inventory Control

  • Support inventory accuracy through cycle counts and inventory audits.
  • Investigate inventory discrepancies with Warehouse, Procurement, Production, and Finance.
  • Monitor inventory transactions to ensure ERP accuracy.
  • Support initiatives to optimize inventory levels while minimizing waste.

Maintenance Planning & Asset Coordination

  • Coordinate preventive and corrective maintenance schedules in collaboration with Production and Maintenance.
  • Maintain the Preventive Maintenance (PM) schedule to maximize equipment reliability.
  • Coordinate maintenance work orders and ensure timely completion.
  • Maintain maintenance documentation within ERP and CMMS systems.
  • Maintain Food Safety and Quality Assurance (FSQA) maintenance records.
  • Coordinate procurement of maintenance materials and spare parts.
  • Maintain maintenance inventory levels and spare parts availability.
  • Assemble maintenance kits to support efficient maintenance execution.

Cross-Functional Operations Coordination

  • Work collaboratively with Production, Warehouse, Procurement, Maintenance, Quality, and Supply Chain.
  • Communicate production constraints, material shortages, and scheduling conflicts.
  • Support shipping, receiving, and production execution activities as operational needs require.
  • Identify operational bottlenecks and recommend improvements.
  • Escalate operational risks that may impact production schedules or customer service.

Food Safety, Quality & Compliance

  • Comply with all food safety programs, sanitation requirements, Good Manufacturing Practices (GMPs), and company policies.
  • Maintain documentation required for internal and external food safety audits.
  • Support compliance with HACCP, CFIA, SQF/BRC (as applicable), and customer requirements.
  • Ensure maintenance activities meet food safety and regulatory standards.

Continuous Improvement

  • Identify opportunities to improve production scheduling, maintenance planning, inventory control, and ERP processes.
  • Participate in Lean Manufacturing and continuous improvement initiatives.
  • Support implementation of new processes and operational efficiencies.

Operational Support

  • Provide backup support for Demand Planning during vacations, absences, and peak business periods.
  • Participate in special projects and other operational initiatives.
  • Perform other related duties as assigned.

The Ideal Candidate:

  • High school diploma or equivalent required; post-secondary education or certification in Supply Chain, Operations, Logistics, or related field considered a strong asset
  • Minimum 2+ years of experience in production coordination, manufacturing operations, maintenance scheduling, or related industrial environment
  • Experience in food manufacturing, regulated production environments, or quality-controlled settings considered a preferred asset
  • Demonstrated proficiency with ERP systems, CMMS (Computerized Maintenance Management Systems), or similar production/maintenance management platforms
  • Strong Microsoft Excel and Microsoft Office Suite skills, including data tracking, reporting, and analysis functions
  • Solid understanding of inventory control principles, material tracking processes, and maintenance/work order planning workflows
  • Highly organized with strong time management skills and the ability to manage multiple priorities in a fast-paced manufacturing environment
  • Strong communication skills with proven ability to collaborate effectively across production, maintenance, supply chain, and leadership teams
  • High attention to detail with a strong focus on data accuracy, documentation quality, and process compliance
  • Proven ability to prioritize competing tasks and maintain operational continuity under shifting production demands
  • Problem-solving mindset with a continuous improvement approach (lean thinking, process optimization, efficiency focus)
  • Capable of working independently with minimal supervision while maintaining strong alignment with cross-functional teams
  • Professional, clear, and respectful communicator when engaging with internal stakeholders and external partners
