Assistant Facilities Manager – JLLWhat this job involves: As the Assistant Facilities Manager for our prestigious Omnicom account, you will be the operational backbone driving excellence across a dynamic corporate environment. This pivotal role positions you as the principal operational lead responsible for end-to-end delivery of integrated facilities management (FM) services in one of Toronto's most exciting Work Dynamics environments. You'll ensure business continuity, maintain operational excellence, support financial performance, and lead the on-site operating model for a Fortune 500 global media and marketing powerhouse.
This is more than facilities management—it's strategic partnership. You'll spearhead building operations while developing high-performing teams, cultivating trusted relationships with C-suite stakeholders, and championing JLL's commitment to sustainability, diversity, and innovation. What your day-to-day will look like: Execute comprehensive work order management using advanced CAFM systems (Nuvolo), ensuring completion rates meet SLA parameters while delivering expert customer service to C-suite executives and senior stakeholders across the Omnicom portfolio
Lead HSSE compliance and quality management activities, conducting assessments, completing mandatory training, reporting incidents, and ensuring adherence to JLL global standards to maintain a proactive health and safety culture on-site
Manage vendor relationships and performance, working with the Procurement Team to competitively bid service contracts, chase invoices to maintain Accounts Payable KPIs (Open POs, GRNV, UMLV), and support regional vendor rationalization programs
Drive sustainability initiatives at the facility level, including energy management through BMS analysis, waste reduction and recycling program coordination, green cleaning protocol implementation, and documentation for certification renewals and compliance reporting
Support P&L management and cost optimization by identifying and recording operational cost savings initiatives to meet the client's glidepath savings KPIs, while monitoring utility consumption patterns and working with suppliers to identify savings opportunities
Foster team collaboration and continuous improvement by supporting appropriate staffing models, resource allocation, and professional development, while serving as the escalation point for complex service delivery challenges requiring swift resolution
Coordinate emergency response and business continuity planning, maintain detailed compliance documentation for audit readiness, and support digital transformation initiatives including IoT implementation and smart building technologies
Required Qualifications: Progressive experience in corporate real estate services management with demonstrable expertise in Facilities Management, including proven track record managing complex, multi-site service delivery operations
Post-secondary education in Business Administration, Engineering, Operations Management, or related field
Solid financial acumen with hands-on experience managing budgets, P&L oversight, and leading cost optimization programs in commercial real estate environments
Strong HSSE knowledge with ability to execute assessments, maintain compliance with global safety standards, and champion a proactive health and safety culture on-site
Proven vendor management capabilities including contract negotiation, performance tracking, invoice management, and ability to maintain strong supplier relationships while driving accountability to SLAs
Expert customer service skills with demonstrated ability to build trusted relationships with C-suite executives and senior stakeholders, serving as a credible escalation point for complex issues
Advanced proficiency with CAFM systems (Nuvolo preferred), Microsoft Office Suite, building automation systems, and energy management platforms
Preferred Qualifications: Knowledge of building automation systems (BMS), IoT technologies, smart building platforms, and digital transformation initiatives in facilities management
Experience supporting sustainability frameworks, environmental certifications (LEED, BOMA BEST), and implementing energy reduction, waste diversion, and green building programs
Familiarity with corporate relocations, renovations, space planning, and change management initiatives in occupied commercial environments
Previous experience in media, advertising, creative industries, or corporate office environments with dynamic workplace requirements
Exposure to global or multi-regional facilities operations, with understanding of diverse regulatory and cultural requirements
Demonstrated ability to influence without direct authority, working collaboratively across cross-functional teams and matrix organizations
Relevant professional certifications such as FMP (Facilities Management Professional), CFM (Certified Facility Manager), or PMP (Project Management Professional)
