Legal Admin Assistant

Location: Sault Ste. Marie
Employment Type: Full-Time
Compensation: $40,000 Base Salary

About the Position

KPA Professional Corporation is seeking a professional, organized, and client-focused Legal Administrative Assistant to serve as the first point of contact for prospective and existing clients. This role is essential in creating a welcoming client experience while providing administrative support to attorneys and staff.

The ideal candidate is personable, detail-oriented, empathetic, and thrives in a fast-paced legal environment. The successful candidate will have strong communication skills, excellent organization abilities, and the ability to manage multiple priorities while maintaining professionalism.

Key Responsibilities

Reception & Client Communication

  • Serve as the first point of contact for incoming phone calls, emails, and client inquiries
  • Welcome clients and visitors in a professional and friendly manner
  • Answer and direct phone calls appropriately
  • Provide general information to clients and assist with next steps
  • Maintain professional and empathetic communication with clients
  • Follow up with clients regarding requested information and documents

Administrative Support

  • Assist attorneys and staff with daily administrative tasks
  • Schedule consultations, meetings, and appointments
  • Prepare and send correspondence and basic documentation
  • Organize and maintain client files and records
  • Ensure documents are properly filed and easily accessible
  • Assist with scanning, copying, data entry, and document management

Office Coordination

  • Maintain accurate records and update client information in firm systems
  • Assist with tracking incoming inquiries and client information
  • Coordinate communication between clients, attorneys, and internal team members
  • Maintain confidentiality of client information at all times
  • Support general office operations as needed

Qualifications

  • Minimum 6 months of experience in a customer service role
  • 1–2 years of administrative office experience preferred
  • Experience working in a law office is preferred
  • Strong verbal and written communication skills
  • Well-spoken and professional when communicating with clients
  • Excellent organization and attention to detail
  • Ability to multitask and manage competing priorities
  • Strong problem-solving skills and ability to take initiative
  • Good time management skills
  • Ability to handle confidential information with professionalism and discretion
  • Basic technology skills and ability to learn new systems
  • Proficiency with Microsoft Office, including: Microsoft Word, Microsoft Excel, Microsoft Outlook
  • Punctuality and ability to work in the office every day
