Location: Kinect Therapy Ltd.
Position Type: Part-Time (approximately 15–25 hours/week, with opportunity for additional hours)

We are looking for a friendly, organized, and motivated Administrative Assistant who enjoys working with people and thrives in a fast-paced healthcare setting.

Position Summary

As the first point of contact for our patients, you will play an essential role in creating a positive experience from the moment they walk through our doors. The ideal candidate is personable, detail-oriented, dependable, and able to manage multiple priorities while maintaining excellent customer service.

Responsibilities

  • Welcome patients and provide exceptional customer service
  • Answer incoming phone calls and respond to emails
  • Schedule, reschedule, and confirm appointments
  • Manage patient records while maintaining confidentiality
  • Process payments and balance daily transactions
  • Submit and manage insurance claims when applicable
  • Maintain an organized reception area and treatment schedules
  • Assist with clinic opening and closing procedures
  • Coordinate communication between patients and healthcare providers
  • Assist with inventory management and ordering clinic supplies
  • Promote clinic services, products, and retail items
  • Support day-to-day administrative operations and special projects as needed

Qualifications

  • Previous administrative or customer service experience (healthcare experience is an asset)
  • Excellent verbal and written communication skills
  • Strong organizational and time management abilities
  • Ability to multitask in a busy environment
  • Comfortable using computers, scheduling software, and Microsoft Office or Google Workspace
  • Professional, positive, and compassionate attitude
  • Ability to work independently and as part of a team
  • Experience with electronic medical records (EMR) is considered an asset
  • Experience with WSIB is considered an asset
