Key Responsibilities

  • Welcome clients warmly, process payments, and manage intake documentation, including consent forms, using the Jane App platform.
  • Respond to inquiries from prospective clients, providing clear information about services and guiding them through the intake process

Administrative Support:

  • Coordinate schedules for the psychology team and support staff in managing their duties effectively.
  • Oversee waitlist management, ensuring smooth transitions of clients to active caseloads.
  • Track FSCD team hours and maintain accurate, up-to-date client files in compliance with documentation standards.
  • Manage office supplies, ensuring the workspace is organized and fully equipped.

Marketing and Outreach:

  • Design visually appealing social media posts and promotional materials using Canva to increase engagement and awareness.
  • Maintain and update the company website on Wix, ensuring content is accurate, relevant, and visually appealing.
  • Support community outreach initiatives to strengthen relationships with families and local organizations.

Event Coordination:

  • Assist in planning and executing company and community events, including managing logistics, communication, and materials.
  • Collaborate with team members to create a welcoming and inclusive atmosphere for all events.

Team Collaboration:

  • Develop client resources and provide general support to other teams during downtime.
  • Act as a liaison between clients, families, and team members to streamline communication and processes.

Qualifications:

  • Minimum 3 years experience in an administrative role, preferably in healthcare, social services, or a related field.
  • Proficiency with platforms like Jane App, Canva, and Wix is highly valued.
  • Strong organizational and multitasking skills.
  • Familiarity with FSCD services is an asset.
  • Comfortable using Microsoft Office and other basic software tools.
  • Experience in event planning and/or content creation.
  • A passion for helping children and families and contributing to a positive team culture.
