Type: Full Time, Hourly

We are seeking a highly organized and detail-oriented Project Administrator to join our team. The Project Administrator will play a crucial role in the successful execution of projects by providing administrative and coordination support to project managers and teams. The ideal candidate should be proactive, possess excellent communication skills, and thrive in a fast-paced, collaborative environment.

As a Project Administrator, you will be responsible for:

  • Coordinating and managing all daily time sheets and spreadsheets.
  • Coordinating meetings.
  • Organizing, maintaining, and coordinating all project site documentation, including the proper storage and retention of various documents.
  • Administering and managing inbound/outbound mail, which may include priority post, courier services, and other correspondence.
  • Organizing and making travel arrangement for various parties.
  • Collecting data and materials for management.
  • Responding to telephone, e-mail, and in-person inquiries from clients and visitors.
  • Maintaining visitor sign in/out checks.
  • Assisting with orientations and ensuring that all required documentation is complete.
  • Ensuring that all documentation is saved and stored correctly, including scanning, and uploading all HR, Safety, and/or Project information to the respective parties.
  • Ensuring that all office equipment is maintained, and that all office supplies are ordered without interruption.
  • Facilitating new hire orientations.
  • Updating and maintaining phone and employee lists.
  • Communicating established policies, practices, and procedures.
  • Adhering to all safety standards and procedures.
  • Performing other related duties as required.
  • Promoting a safe and positive work environment.
  • Proactively identifying improvement opportunities on job related processes and procedures.
  • Constantly demonstrating a strong customer focus.
  • Performing other tasks as assigned.

Required Qualifications:

  • Minimum of two (2) years’ experience working within the construction and/or crane industry in a field related to the position.
  • Strong working knowledge in Microsoft Office – Word, Excel, Outlook and Teams.
  • Must be able to effectively communicate, including oral and written correspondence.
  • Must be able to organize and plan tasks, with an ability to adapt to changing priorities.
  • Must be dependable and committed to ensuring client (internal and external) needs are met.
  • Attention to detail.
  • Ability to follow directions with precise execution.
  • Enhanced Interpersonal skills and a positive attitude.
  • Ability to work with basic computer programs, as well as various applications (i.e., safety management system).
  • Ability to read, interpret and understand manufacturer manuals.

Working Conditions:

  • Travel to site will be required.
  • Overtime will be required.
  • Will be working an 5/2 schedule.
  • Training will be conducted in Acheson, AB.
