About the role
NAPA AUTOPRO 4My Auto is a trusted automotive repair and maintenance shop proudly serving the Ottawa community since 2014, with two convenient locations in Gloucester and Orléans.
We are currently looking for a reliable, organized, and professional Personal Assistant to provide direct administrative support to the owner and assist with service and front desk support.
This position is ideal for someone who enjoys variety, is highly organized, and thrives in a small business environment.
Responsibilities
Administrative & Personal Assistant Support (Primary Focus)
- Manage the owner’s calendar, appointments, and scheduling (personal and business)
- Perform general administrative and clerical duties
- Assist with basic bookkeeping, including invoicing, expense tracking, filing, and data entry
- Process payroll accurately and on time
- Organize and maintain accurate records and documentation
- Support day-to-day personal business operations and coordination
Service & Front Desk Support (As Needed):
- Answer incoming phone calls and respond to customer inquiries
- Greet customers in a friendly and professional manner
- Assist with scheduling customer appointments
- Support parts ordering and follow-ups
Qualifications & Skills
- Minimum 2 years’ experience in an administrative, personal assistant, or office support role
- Minimum 2 years’ experience with clerical and basic bookkeeping tasks
- Minimum 2 years’ experience processing payroll
- Experience using QuickBooks or similar accounting software
- Proficiency with Microsoft Office (Outlook, Excel, Word, etc)
- Post‑secondary diploma or certificate in Business Administration, Office Administration, Accounting, or a related field required
- Valid driver’s license and ability to be insured under the company’s vehicle policy is required.
- Professional, dependable, and discreet
- Ability to work in a fast-paced, small business environment
- Strong organizational and time-management skills
- Excellent communication and customer service skills
- Automotive or service industry experience is an asset but not required (training provided)
- Advanced computer proficiency (email, calendars, spreadsheets)
Job Types: Full-time, Permanent
Pay: $45,000.00-$50,000.00 per year
