Overview
We are seeking a highly organized and detail-oriented Client Service Associate to join our growing team. The successful candidate will provide comprehensive administrative support to our Financial Advisors and ensure the smooth operation of daily office functions. This is a vital role requiring strong communication skills, an understanding of financial compliance, and a commitment to professional service.
Key Responsibilities
Client and Advisor Support
- Schedule and confirm client appointments for Financial Advisors
- Prepare client files and meeting materials
- Act as a point of contact for client inquiries, managing calls and emails efficiently and professionally
- Process and track client documentation, ensuring all forms are accurately completed and submitted as per compliance guidelines and standards.
- Oversee advisor expense reports
Administrative and Operational Duties
- Manage and maintain electronic and physical client records in compliance with regulatory standards
- Oversee office inventory, ordering supplies as needed
- Digitizing client files
- Coordinate Client Events
- Liaison to the Operations Manager
Compliance and Documentation
- Work independently on compliance inquiries
- Proactively audit client files for accuracy and completeness
Required Qualifications
Education and Experience
- High school diploma or equivalent; a Bachelor's degree or diploma in business, finance, or a related field is an asset.
- 2+ years of Customer Service Experience preferred
- Experience in the Financial industry preferred
Skills and Competencies
- Exceptional organizational and time-management skills
- Proficiency in Google Workspace (Calendar, Docs, Sheets, Meet, Chat, etc)
- Proficiency in Microsoft 365
- High degree of attention to detail and accuracy
- Excellent written and verbal communication skills
- Ability to work independently and as part of a team in a rapidly growing practice
Compensation and Benefits
- Salary: Competitive, based on experience

- Location: This position is based at our office in Kentville: 35 Webster Street
