Full job description

Location: 11072 261 St, Acheson, AB

Silent Rides is a premier provider of chartered bus transportation services, dedicated to delivering safe, comfortable, and reliable travel experiences for various events and occasions. With a modern fleet of meticulously maintained buses and a dedicated team of professionals, we take pride in offering exceptional customer journeys.

The Fleet Manager plays a key leadership role in the day-to-day operations of Silent Rides. This position is responsible for ensuring the safe, efficient, and compliant operation of the company’s motor coach fleet. The primary focus will be on fleet upkeep, vendor management, Registrations, Insurance, Documentation, and operational effectiveness.

The Fleet Manager will work closely with shop staff along with Logistics Manager and vendors to ensure that every trip meets company standards for safety, reliability, and customer service. The Fleet Manager will also have the licensing and ability to move motorcoaches when required.

Key Responsibilities:

Fleet Management & Maintenance

  • Oversee the day-to-day performance and condition of the Silent Rides fleet.
  • Schedule and coordinate routine & preventative maintenance and repairs to minimize downtime.
  • Oversee and maintain organized and compliant fleet records, ensuring all vehicle files, maintenance documentation, inspections, licensing, accident and incident reports, and regulatory requirements are accurately tracked, updated, and retained in accordance with Transportation standards and company policies.
  • Monitor vehicle condition, mileage, and performance to anticipate service needs.
  • Work with maintenance staff and vendors to ensure quality and cost-effective repairs.
  • Conduct regular yard and equipment inspections to ensure readiness and cleanliness.
  • Ability and licensing to move motorcoaches as may be required.
  • Previous experience in the field of motorcoaches is preferred.

Compliance & Permitting

· National Safety Code (NSC) & CVIP Management: Ensure the entire motorcoach fleet strictly adheres to Alberta Transportation and NSC standards. Oversee the scheduling, documentation, and execution of Commercial Vehicle Inspection Program (CVIP) inspections, ensuring no coach operates with an expired decal.

· Provincial & Federal Regulation Adherence: Maintain full compliance with Alberta’s Traffic Safety Act and Canadian federal transportation safety regulations. Stay current on legislative updates affecting motorcoach operations, weights, and dimensions across Western Canada.

· Carrier Profile & Audits: Monitor and protect the company’s Alberta Carrier Profile. Proactively review risk factors, violation tickets, and CVSA (Commercial Vehicle Safety Alliance) inspection reports, implementing immediate corrective actions to maintain a clean safety rating.

· Safety & Maintenance Records (Record-Keeping): Oversee the meticulous upkeep of legally mandated vehicle maintenance files, including daily trip inspection reports, post-trip reports, and detailed receipts of all repairs and preventative maintenance performed.

· ELD & Hours of Service Support: Partner with the operations team to monitor Electronic Logging Device (ELD) data related to vehicle diagnostics, ensuring that any hidden mechanical faults or tampering alerts are immediately addressed and logged for compliance.

Operational Oversight

· Preventative Maintenance (PM) Scheduling: Develop, implement, and manage a robust preventative maintenance program tailored to high-utilization motorcoaches. Coordinate service intervals (mileage and time-based) for engine, transmission, HVAC, and restroom systems to minimize on-road breakdowns.

· Vendor & Shop Management: Supervise internal heavy-duty technicians or manage relationships with third-party repair facilities across Alberta. Negotiate commercial pricing on parts (tires, fluids, components) and ensure repair turn-around times align with high-season charter demands.

· Interdepartmental Liaison (Logistics & Dispatch): Collaborate continuously with the Logistics Manager and Dispatch team to communicate real-time vehicle availability, scheduled maintenance downtimes, and unexpected mechanical delays to prevent disruptions to upcoming charters.

· Defect Resolution & Grounding Authority: Review daily driver vehicle inspection reports (DVIRs) each morning. Hold ultimate authority to ground any motorcoach deemed unsafe or non-compliant, ensuring that "major defects" are completely resolved before the vehicle is released back into service.

· Emergency Roadside Response: Oversee the logistical response for on-road mechanical emergencies. Maintain a reliable network of regional service providers across Western Canada and the US border to facilitate rapid roadside assistance, mobile repairs, or coach cross-shipping to protect the passenger experience.

Leadership & Continuous Improvement

  • Provide leadership and direction to operational and driving staff.
  • Promote a strong safety culture and adherence to company policies.
  • Identify opportunities to improve operational efficiency and reduce costs.
  • Communicate effectively with the VP of Operations regarding performance, issues, and recommendations.
  • Prepare regular reports on fleet condition, compliance status, and operational metrics.
  • Other duties as assigned.

Work Conditions:

  • This is a full-time, shop/office-based role and remote work is not available for this position.
  • Relocation Assistance may be available for the right candidate.
  • On-call availability required for weekends or operational emergencies.
  • Due to operational requirements and scheduling needs, candidates must be located within a 50 km commuting distance of the shop.
  • Must be comfortable working in a dynamic environment with frequent interactions between VP’s, Logistics Manager, drivers, maintenance, shop supervisor, and dispatch.

Please attach a current resume to your application. We thank all candidates for their interest and time, however only candidates under consideration will be contacted for next steps in interview process.
