Customer Service Representative / Warehouse Associate
Swagelok Medicine Hat

Swagelok Medicine Hat is a division of Southern Alberta Fluid System Technologies Inc. that provides Swagelok services, products and components for Oil and Gas, Power, Pulp and Paper and many other industries.

Swagelok Medicine Hat is seeking an energetic, flexible team player who will perform hybrid role CSR/Warehouse ready to help industrial customers, solve their fluid system needs. An ideal candidate will be dedicated to outstanding customer service. Our business structure is organized to respond swiftly to the fast-changing needs of our customers and their industries. Our team focuses on developing cost-effective solutions for our customers and to set the standard for all suppliers in our industry.

The successful candidate will work in person at our Swagelok Medicine Hat location and report directly to the Customer Service Manager. This is a hybrid role that splits time between front-facing customer service duties and hands-on warehouse operations. The ideal candidate is comfortable moving between a phone/computer and the warehouse floor and can prioritize effectively when both areas need attention.

Job Functions:

Customer Service

  • Providing excellent customer service in person, by phone, or electronically regarding product availability, pricing, and shipping options
  • Processing customer orders and entering them into the company software system, including warehouse support as needed
  • Providing quotes to customers and following up promptly with price and delivery feedback
  • Maintaining communication with the Swagelok Medicine Hat team regarding customer queries that cannot be answered immediately
  • Staying up to date with local business news and relaying relevant information to Swagelok Medicine Hat and the Sales Team
  • Ensuring compliance with customer requirements during order and quote entry
  • Communicating with customers in a professional and courteous manner

Warehouse Operations

  • Shipping, receiving, and recording the movement of parts, supplies, materials, equipment, and stock to and from the branch
  • Receiving daily shipments and verifying packing slips to ensure all parts are received; posting completed shipments
  • Coordinating the allocation of parts to assigned customer purchase orders from received products and inventory stock
  • Running order sets and generating pick lists via the SAP Business One system
  • Picking parts to match orders, using shipment priorities and courier logistical deadlines
  • Scheduling couriers and completing applicable waybills; updating and replenishing waybills as needed
  • Becoming familiar with customer service requirements
  • Restocking shelves with daily shipments and maintaining the customer pick-up logbook
  • Maintaining inventory by keeping shelves tidy and organized; restocking from bulk storage locations
  • Maintaining shipping label files and logging new accounts with online couriers
  • Calling pick-up customers when orders are ready
  • Keeping the warehouse clean, tidy, and organized, with bulk shipments stored in accessible locations
  • Processing credit card transactions
  • Performing other duties as required by management

Skills/Requirements

Education:

  • High School Diploma (minimum)

Experience:

  • No warehouse experience required
  • Customer service experience is an asset
  • Mechanical or fluid system knowledge is a plus

Specific Skills:

  • Able to lift to 75 lbs. without the use of aids
  • Walking ability up to 10,000 steps per day
  • Proficient in Microsoft Office Suite (Excel, Word & Outlook)
  • SAP Business One software experience preferred
  • Strong data entry skills

Essential Skills:

  • Strong phone contact handling skills and active listening
  • Customer orientation with the ability to adapt to different personality types
  • Excellent communication, interpersonal, and presentation skills
  • Ability to multi-task, prioritize, and manage time effectively
  • Self-motivated with the ability to work independently and switch between roles as needed
