Full job description

BDA Inc. (formerly Brown Daniels Associates Inc.) is an established general contractor specializing in interior renovations, additions, and fit-up projects throughout Ontario. Since our founding in 1997 by Brad Daniels and Toccar Brown, we have built our reputation on integrity, respect, collaboration, and long-term relationships with our clients, consultants, subcontractors, and suppliers.

Today, BDA employs more than 70 professionals and manages construction projects across the healthcare, education, institutional, commercial, and public sectors. We take pride in delivering complex projects in occupied and operational environments while maintaining the highest standards of quality, safety, and client service.

As our business continues to grow, we are seeking a highly organized, detail-oriented Proposal Specialist to join our Business Development team.

Position Summary

Reporting to the Director of Business Development, the Proposal Specialist will be responsible for coordinating, writing, editing, and producing high-quality proposal submissions that support BDA's continued growth.

This role is ideal for someone who enjoys managing multiple deadlines, transforming technical information into compelling proposal content, and collaborating with project teams to produce professional submissions. The successful candidate will play an integral role in preparing Expressions of Interest (EOIs), Requests for Qualifications (RFQs), Requests for Proposals (RFPs), and other marketing and business development materials.

Key Responsibilities

  • Coordinate and manage multiple proposal submissions simultaneously, ensuring all deadlines are met.
  • Review solicitation documents (EOIs, RFQs, RFPs, tenders, and related procurement documents) to identify submission requirements, evaluation criteria, compliance requirements, and deliverables.
  • Develop proposal schedules, action plans, and document outlines.
  • Work closely with senior management, project managers, estimators, and subject matter experts to gather technical information and develop compelling proposal content.
  • Research, write, edit, proofread, and format proposal responses that are clear, persuasive, accurate, and tailored to each opportunity.
  • Develop proposal themes, executive summaries, project descriptions, and technical narratives that align with client evaluation criteria.
  • Coordinate graphics, charts, project photographs, organizational charts, schedules, and other visual elements required for proposal submissions.
  • Ensure all proposal documents comply with BDA branding standards, formatting requirements, and quality expectations.
  • Coordinate final production of electronic and hard-copy submissions.
  • Maintain proposal libraries, corporate resumes, project profiles, standard content, and marketing collateral.
  • Maintain business development databases, opportunity tracking, and proposal records.
  • Support lead generation, market research, and other business development initiatives as required.
  • Identify opportunities to continuously improve proposal processes, templates, and content libraries.

Location: Etobicoke, ON
Hours: Monday to Friday, 8:00 a.m. – 5:00 p.m.
Reports to: Director of Business Development

Qualifications

  • Post-secondary diploma or degree in Communications, Marketing, Business, Technical Writing, Journalism, English, or a related discipline.
  • Minimum of 3–5 years of professional proposal writing, proposal coordination, or business development experience in Canada.
  • Previous experience in the construction, engineering, architecture, consulting, or professional services industry is strongly preferred.
  • Experience responding to public-sector procurements (healthcare, institutional, municipal, educational, experience with Ontario Broader Public Sector (BPS) procurements, Infrastructure Ontario, hospitals, colleges, universities, municipalities, and school boards), including RFQs, RFPs, EOIs, and Requests for Tenders, is considered a significant asset.
  • Ability to understand construction terminology, drawings, specifications, and project delivery methods is an asset.
  • Exceptional writing, editing, proofreading, and document production skills.
  • Strong reading comprehension and analytical skills with the ability to interpret complex procurement documents.
  • Excellent organizational and project management skills.
  • Demonstrated ability to manage multiple priorities while consistently meeting tight deadlines.
  • Exceptional attention to detail and commitment to producing high-quality work.
  • Strong interpersonal skills with the ability to collaborate across multiple departments.
  • Advanced proficiency with Microsoft Office (Word, Excel, PowerPoint).
  • Experience with Adobe InDesign is highly desirable.
  • Experience using proposal management or CRM software is considered an asset.
