Overview

We are seeking a highly organized, detail-oriented, and proactive Bookkeeper / Accounts Coordinator to support the day-to-day financial and administrative operations of our growing construction company.

The ideal candidate will be proficient in QuickBooks Online, possess excellent communication and organizational skills, and have a strong understanding of bookkeeping, payroll, and office administration.

This role is essential to maintaining accurate financial records, coordinating accounting and project documentation, supporting office operations, and ensuring efficient workflows across the organization.

Duties & Responsibilities

  • Proficient in QuickBooks Online, including processing payroll, managing accounts payable and receivable, invoicing, expense tracking, bank reconciliations, and maintaining accurate financial records. Prepare and issue customer invoices, monitor accounts receivable, and follow up on outstanding payments. Record and track company expenses, ensuring accurate coding and documentation. Perform monthly bank reconciliations and maintain accurate financial records. Assist with GST/PST reporting and maintain organized accounting records for year-end preparation. Provide general office administration and ensure the efficient day-to-day operation of the office. Organize project costing, monitor budgets, and assist with job cost tracking. Maintain contract files, project documentation, purchase orders, change orders, and other construction records. Prepare statutory declarations, progress billing documentation, and other project-related administrative documents. Coordinate and maintain material delivery records, labour documentation, timesheets, and subcontractor paperwork. Manage employee time tracking using Workforce management applications and verify employee hours for payroll processing. Prepare cheque deposits, process electronic payments, and perform other banking-related tasks. Answer incoming telephone calls, respond to emails, greet visitors, and provide professional front-office customer service. Order office supplies and coordinate with vendors and suppliers as required. Schedule meetings, maintain calendars, and support management with administrative tasks. Maintain confidentiality of financial, employee, and company information. Support project managers and estimators with document preparation, reports, and administrative assistance. Ensure compliance with company policies, safety requirements, and applicable regulations.

Requirements

  • Minimum 2–3 years of bookkeeping and accounting experience, preferably in the construction industry. Proficient in QuickBooks Online with experience in payroll, invoicing, accounts payable/receivable, bank reconciliations, and financial reporting. Strong knowledge of Microsoft Office (Excel, Word, Outlook) and Google Workspace. Strong understanding of job costing, project documentation, and construction administration is an asset. Excellent attention to detail and a high level of accuracy. Strong organizational, time management, and multitasking skills. Ability to prioritize work and meet deadlines in a fast-paced environment. Excellent written and verbal communication skills. Strong problem-solving skills and the ability to work independently as well as part of a team.
