About Us

Solution Law is a client-focused law firm serving clients in Family Law, Real Estate, Personal Injury, and other general practice areas of law. We are looking to hire two Legal Intake Specialists to manage new client inquiries and serve as a professional, compassionate first point of contact for prospective clients.

We are hiring for:

  • Full-Time Legal Intake Specialist
  • This position will generally cover regular business hours.
  • Evening and Weekend Legal Intake Specialist

This position will cover inquiries outside regular business hours, including weekday evenings and weekends. Both positions may be performed remotely, in person, or in a hybrid format, depending on the candidate and the firm's needs.

Position Overview

The Legal Intake Specialist is often the first person a prospective client speaks with when contacting our firm. This role is responsible for answering inquiries, gathering preliminary information, identifying the type of legal matter, scheduling consultations, and ensuring prospective clients receive prompt, professional, and organized assistance.

The ideal candidate is friendly, detail-oriented, reliable, and comfortable speaking with people who may be dealing with stressful or sensitive legal situations.

Responsibilities

  • Answer incoming calls, emails, website inquiries, and other prospective client communications.
  • Gather accurate intake information from potential clients.
  • Identify the general nature of the legal matter, including Family Law, Real Estate, Personal Injury, and other general practice areas.
  • Schedule consultations and follow up with prospective clients as needed.
  • Enter and update client information in the firm’s intake, case management, or CRM system.
  • Track leads, follow-ups, consultation bookings, and intake status.
  • Provide excellent client service while maintaining professionalism, empathy, and confidentiality.
  • Communicate with lawyers, paralegals, and administrative staff regarding new inquiries.
  • Identify urgent matters and escalate them according to firm procedures.
  • Ensure prospective clients understand the next steps in the intake process.
  • Avoid giving legal advice and direct legal questions to the appropriate lawyer or staff member.

Available Positions: Full-Time Intake Specialist

This position is intended for candidates seeking a full-time role during regular business hours. Duties will include handling new client inquiries, managing follow-ups, booking consultations, and supporting the firm’s intake process throughout the workweek.

Evening and Weekend Intake Specialist

This position is intended for candidates who are available outside regular business hours. Duties will include responding to new inquiries during evenings and weekends, gathering intake details, scheduling consultations, and ensuring smooth handoff to daytime staff.

Schedule may include:

  • Weekday evenings
  • Saturdays
  • Sundays
  • Occasional holiday coverage, if needed
  • Exact schedule to be discussed

Qualifications

  • Previous experience as a paralegal or with legal intake, customer service, call handling, sales, administration, or client services preferred.
  • Law firm experience is an asset, but not required for the right candidate.
  • Strong verbal and written communication skills.
  • Excellent organization and attention to detail.
  • Comfortable speaking with clients who may be upset, stressed, or dealing with sensitive legal issues.
  • Professional, reliable, and able to maintain strict confidentiality.
  • Ability to work independently and follow intake procedures.
  • Comfortable using phone systems, email, calendars, Microsoft Office, and client management software.
  • Experience with Cosmolex, Clio, Lawmatics, or similar legal software is an asset.

Remote Work Requirements

Candidates working remotely or in a hybrid must have:

  • A quiet and private workspace.
  • Reliable high-speed internet.
  • A computer suitable for remote work.
  • The ability to handle confidential client information securely.
  • Availability during agreed working hours.
