Job Overview:

GRW provides innovative geotechnical and rockfall mitigation solutions backed by over a decade of operational experience. Our clients rely on us to deliver safe, efficient, and cost-effective solutions for their most challenging projects.

We are seeking a highly organized and motivated Operations Administrator to join our team. This role offers an excellent opportunity to gain hands-on experience in operations, procurement, logistics, and project coordination while working alongside experienced operational leaders. You will support the Operations & Procurement Manager in the day-to-day administration and coordination of projects, staffing, equipment, procurement, and operational processes.

The ideal candidate is detail-oriented, proactive, and thrives in a fast-paced environment where priorities can shift quickly. You will play an important role in ensuring operational activities run smoothly by maintaining schedules, coordinating resources, supporting procurement activities, tracking inventory and equipment, and facilitating communication between project teams, suppliers, and office staff.

This position provides an opportunity to build a strong foundation in operations management while contributing directly to the successful execution of projects and the continued growth of GRW.

DUTIES & RESPONSIBILITIES

Operations Support

  • Support the Operations Manager with administrative and coordination tasks related to ongoing projects.
  • Assist with maintaining operational scheduling documents, staffing coordination, project mobilization, and demobilization activities.
  • Support recruitment initiatives, including conducting initial candidate screenings and assessing qualifications, certifications, experience, and availability for operational roles.
  • Coordinate travel, accommodations, and logistics for project personnel as required.

Procurement & Vendor Support

  • Support with sourcing materials, equipment, and services from approved suppliers.
  • Prepare and process purchase orders and procurement requests.
  • Assist to obtain supplier quotations, compare pricing, track order status, and coordinate deliveries.
  • Support vendor relationship management and maintain procurement records.
  • Support shipping and receiving activities and maintain associated documentation.

Inventory & Equipment Administration

  • Assist with maintaining accurate inventory records for equipment, tools, and materials.
  • Assist with coordinating equipment servicing, inspections, and maintenance records.
  • Assist with project pack-outs and equipment preparation.
  • Track equipment movements between yard, projects, and vendors.

Reporting & Administrative Duties

  • Assist with data entry and record management across operational systems.
  • Generate reports related to staffing, equipment utilization, procurement activities, and inventory levels.
  • Support continuous improvement initiatives through accurate reporting and process documentation.
  • Perform general administrative duties to support the Operations and Project Teams.

KEY METRICS & GOALS

  • Timely processing of purchase orders and procurement requests.
  • Accurate inventory and equipment tracking.
  • Timely completion and filing of operational documentation.
  • Support the achievement of project schedules and operational efficiency targets.

COMPETENCIES REQUIRED

  • Highly organized with strong attention to detail.
  • Strong administrative and coordination skills.
  • Ability to prioritize and manage multiple tasks simultaneously.
  • Excellent verbal and written communication skills.
  • Strong problem-solving and critical thinking abilities.
  • Proficient with Microsoft Office applications (Word, Excel)
  • Comfortable working in a fast-paced operational environment.
  • Strong relationship management skills.
  • Positive attitude with a willingness to learn and support team objectives.
  • Ability to work independently while collaborating effectively

QUALIFICATIONS

  • 2+ years of experience in an administrative, operations coordination, procurement, logistics, or project support role.
  • Experience in construction, industrial services, equipment management, or a related field is considered an asset.
  • Experience with scheduling, purchasing, inventory management, or project administration is preferred.
  • Valid driver's license

LOCATION

In person; This position is based in Squamish, BC. Occasional travel to project sites and supplier facilities may be required.

Pay: $25.00-$35.00 per hour
