We are a busy and growing physiotherapy clinic dedicated to providing exceptional patient care in a welcoming and professional environment. We are seeking a reliable, organized, and hardworking Office Administrator / Clinic Assistant to join our team.

Position Summary

The Office Administrator / Clinic Assistant plays an essential role in ensuring the smooth daily operation of the clinic. This position combines administrative, customer service, cleaning, and clinical support duties. The successful candidate will be professional, detail-oriented, and able to multitask in a fast-paced healthcare environment.

ResponsibilitiesAdministrative Duties

  • Schedule, book, reschedule, and confirm patient appointments.
  • Answer incoming phone calls and respond to patient inquiries.
  • Greet patients and visitors in a friendly and professional manner.
  • Manage patient registrations and maintain accurate records.
  • Process direct billing claims through insurance providers.
  • Communicate with insurance companies regarding patient claims and coverage.
  • Collect payments and issue receipts.
  • File, organize, and maintain clinic paperwork and patient records.
  • Assist with general office administration and clinic organization.

Clinic Support Duties

  • Assist physiotherapists and massage therapists with daily operational tasks.
  • Prepare treatment rooms before and after patient appointments.
  • Ensure treatment equipment is clean, organized, and ready for use.
  • Restock clinic supplies and treatment materials as needed.

Cleaning and Maintenance Duties

  • Sweep, mop, and vacuum clinic floors.
  • Clean and sanitize treatment rooms and treatment tables.
  • Clean and disinfect clinic equipment and high-touch surfaces.
  • Clean and maintain washrooms/toilets.
  • Empty garbage and recycling bins.
  • Maintain overall cleanliness and appearance of the clinic.

Qualifications

  • Previous experience in a medical, physiotherapy, chiropractic, massage therapy, or healthcare office is an asset.
  • Experience with direct billing and insurance claims is preferred.
  • Strong customer service and communication skills.
  • Excellent organizational and multitasking abilities.
  • Proficiency with computers and office software.
  • Ability to work independently and as part of a team.
  • Reliable, punctual, and professional.
  • Ability to perform light physical tasks, including cleaning and lifting supplies when necessary.
