Full job description

Northern Credit Union is a full-service, locally operated financial institution offering personal and commercial banking services along with financial planning expertise to members across our footprint. As a key player in the financial services marketplace of Northern Ontario, we are excited to announce that we are currently seeking an Executive Assistant.

The Executive Assistant plays an integral role in supporting the Executive Office by providing efficient, responsive, and confidential administrative services. Working closely with the Director, Governance & Corporate Secretary, Executive Management Team, and the CEO Executive Assistant & Recording Secretary, this position helps ensure the smooth day-to-day operation of executive functions and corporate activities.

Key responsibilities include:

  • Providing comprehensive administrative support to the Executive Management Team, including calendar management, meeting coordination, organizational events, travel arrangements, expense processing, and executive scheduling.
  • Coordinating meeting logistics, including room bookings, virtual meeting setup, catering, agendas, meeting materials, and follow-up action items.
  • Preparing, proofreading, formatting, and distributing correspondence, reports, presentations, meeting minutes, and internal communications.
  • Maintaining electronic and physical filing systems, managing confidential information, responding to routine inquiries, and supporting effective records management.
  • Welcoming visitors and staff while providing professional front-desk reception and exceptional customer service.
  • Supporting special projects and organizational initiatives, identifying opportunities to improve administrative processes, and providing backup administrative support as required.
  • Building positive working relationships with employees, members, external stakeholders, and service providers while working closely with the CEO Executive Assistant & Recording Secretary to ensure seamless executive support.

Preferred candidates will possess the following qualifications:

  • Secondary School Diploma required; post-secondary education in Business Administration, Office Administration, or a related field is preferred.
  • Minimum three (3) years of administrative experience, preferably supporting senior leaders or executives.
  • Experience with electronic document management and records maintenance systems.
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, and Teams
  • Growing proficiency with emerging workplace technologies, with a willingness to learn and adapt to evolving digital tools.
  • Excellent communication, proofreading, document formatting, organizational, and time management skills, with the ability to manage multiple priorities in a fast-paced environment.
  • Demonstrated professionalism, discretion, attention to detail, strong customer service skills, and the ability to work both independently and collaboratively while maintaining confidentiality.

Salary Range: $50,800.00 to $63,500.00
