Virtual Assistant (Remote) – Real Estate Support

Overview
I am looking for a highly organized and self-motivated Virtual Assistant to support a growing real estate business. This role is ideal for someone who thrives in a fast-paced environment, excels at managing multiple tasks, and values the flexibility of remote work. You’ll be helping to streamline operations, enhance client communication, and keep everything running smoothly behind the scenes.

Key Responsibilities

  • Administrative Support: Manage daily operations including email organization, scheduling appointments, and maintaining an efficient digital calendar.
  • Tech & Tools: Utilize Google Suite (Docs, Sheets, Drive) and CRM systems (Follow-Up Boss preferred) to prepare documents, manage listings, and support lead tracking.
  • Client Communication: Respond promptly and professionally to client inquiries across email and rental platforms (e.g. Kijiji, Marketplace), and assist with lead follow-up.
  • Listing & Transaction Coordination: Prepare paperwork, post listings (with info provided), maintain client records, and assist with transaction processes.
  • Social Media Management: Repost provided content across platforms including Instagram, Facebook, LinkedIn, TikTok, and YouTube.
  • Creative Tasks: Make basic content edits in Adobe Photoshop (e.g. changing text and images in marketing materials).
  • CRM & Inbox Cleanup: Keep CRM organized and up to date, declutter inboxes, and help streamline communication systems.
  • Ordering & Organization: Coordinate signage orders and ensure that all listing-related materials are prepared and in place.

Qualifications

  • Proficiency in Google Suite (Docs, Sheets, Drive, Calendar) is essential.
  • Experience with CRM tools; familiarity with Follow-Up Boss is a strong asset.
  • Previous experience in real estate, customer service, or administrative support is preferred.
  • Strong communication, organizational, and multitasking abilities.
  • Comfortable working independently while maintaining strong team collaboration.
  • Basic proficiency in Adobe Photoshop or Canva for light content editing.
  • High attention to detail and strong problem-solving skills.

It’s a great chance to make a real impact in a supportive, communication-focused environment—with the bonus of working remotely. We’re happy to be flexible with your schedule, but ideally, you’d be available for 2–3 hours spread throughout the day, 5–7 days a week. Alternatively, a consistent 3-hour block (like 9:00 a.m. to 12:00 p.m.) five days a week would work just as well.

This is an independent contractor position providing flexibility for additional hours if interested.
