Full job description

Position Overview

The Practice Manager provides leadership and oversight of the clinic's staff, operations, administration, client experience, and business functions. Working closely with the Clinic Owner, Veterinarians, and Support Staff, this role ensures effective communication, efficient workflow, positive team culture, and exceptional patient and client care.

Key Responsibilities

  • Team & HR Leadership: Supervise and support reception and RVT staff; oversee scheduling, onboarding, performance reviews, conflict resolution, employment documentation, benefits, allowances, reimbursements, WCB, payroll, and staff meetings.
  • Clinic Operations: Develop and implement policies, SOPs, and workflow improvements; coordinate facility maintenance, repairs, QC, security, IT, phone/fax systems, and other operational needs.
  • Leadership & Communication: Serve as the primary liaison between clinic leadership and staff; facilitate communication, implement improvements, and uphold EHVC's Core Values.
  • Client & Patient Experience: Support exceptional patient care and client service; address client concerns and conflicts; assist with communications, accounts receivable, collections, refunds, pricing, and client experience initiatives.
  • Marketing & Communications: Manage the clinic website, social media, and general marketing/client communications.
  • Vendor & Business Relations: Manage external service contracts, vendors, industry representatives, and business partners.
  • Hands-On Support: Provide reception, VMA, and/or RVT assistance when required, including but not limited to patient care, prescriptions, restraint, cleaning, laundry, and coverage for staff absences.

Qualifications & Skills

  • Veterinary practice management, leadership, or supervisory experience required.
  • Strong organizational, communication, leadership, inter-personal, and problem-solving skills.
  • Experience with HR, administration, and veterinary clinic operations preferred.
  • Excellent client service and conflict-resolution abilities.
  • Ability to manage competing priorities in a fast-paced environment.
  • Professional, compassionate, accountable, adaptable, and solutions-oriented.
  • Willingness to maintain a hands-on role and assist the team as needed.
