We’re looking for a driven, team-oriented Building Operations Coordinator to join our team and support the ongoing operations and maintenance of our Strategic Coach head office in Liberty Village! The main function of this role is to ensure that our office is safe, clean and runs smoothly for all team members, clients, and visitors. The secondary functions include shipping, receiving, order management and office logistics planning.

Key responsibilities:

1. Office Maintenance

  • Executing the operational task requirements of the Strategic Coach facilities to ensure our office runs smoothly from day to day.
  • Performing office maintenance services such as cleaning projects; replacing light bulbs; painting offices; moving, assembling, and installing office furniture, etc.
  • General and special cleaning projects such as dusting, removing garbage and recycling, as well as spot cleaning carpets and office chairs.
  • Performing routine maintenance and minor repairs on laser printers, fax machines, copiers, and other equipment (e.g., changing toner, clearing paper jams, and ordering supplies).
  • Conduct office appearance inspections and fix, replace, or clean areas and items that require attention.
  • Make adjustments and minor repairs to heating, cooling, ventilation, plumbing, and electrical systems.
  • Help with setting up Workshops in the evenings for a few days a month.
  • Being the emergency contact for alarm systems that may require after hours visits to the office or dealing with emergency situations.

2. Shipping and Receiving

  • Assisting with shipping and receiving, which includes tracking shipments and deliveries as well as signing off on and reporting on related costs.
  • Facilitating courier deliveries and office supply orders.
  • Place ad hoc orders as necessary.
  • Distributing office deliveries to the appropriate team members or departments.

3. Office Logistics Planning

  • Assist in the development and preparation of a variety of budgets and purchase orders.
  • Monitor and maintain product inventories.
  • Liaise with building, architects, contractors, and vendors.
  • Schedule and oversee maintenance and repairs.
  • Ordering office furniture.
  • Manage office renovations as needed.
  • Work comfortably with a variety of competing priorities and communicate on a timely basis to stakeholders regarding the status of projects and initiatives.
  • Perform data routine data entry and create monthly reports on expenses and usage
  • Assisting with the printing and binding of materials for Workshops
  • Supporting ad hoc initiatives as needed, including but not limited to Health & Safety Team projects and occasional offsite visits.

We also want you to have:

  • 2+ years’ of related experience.
  • A college or university degree.
  • Ability to maintain a high level of activity, manage multiple competing priorities, and work in a results-focused and team-based environment.
  • A valid driver’s license and the ability to run errands as needed.
