Senior Administrative Assistant, Vice President & Chief Information Officer (CIO)

CIO Portfolio | Non-Union | Full-Time | Kingston, ON

Salary: Class 3 – $67,901.93 – $81,482.90 per year + comprehensive benefits & pension

Kingston Health Sciences Centre (KHSC) is seeking a highly skilled and proactive Senior Administrative Assistant to support the Vice President & Chief Information Officer (CIO) and the dynamic CIO Portfolio. About the Role

Reporting to the Vice President & CIO, you will provide senior-level administrative and operational support to both the VP & CIO and the broader CIO leadership team. You will play a critical role in ensuring the smooth coordination of portfolio activities, enabling leaders to focus on advancing strategic priorities that improve patient and family-centred care.

Working with a high degree of independence, you will anticipate needs, coordinate priorities, and ensure effective communication and workflow across a complex and evolving portfolio.

What You Will Do

  • Executive & Portfolio Support
  • Coordinate and support day-to-day operations, projects, and portfolio initiatives
  • Track deliverables, monitor deadlines, and follow up on key actions and commitments
  • Calendar & Meeting Management
  • Manage complex executive calendars, prioritize requests, and resolve scheduling conflicts
  • Coordinate meetings, travel, and events, including logistics, materials, and follow-up
  • Operational Coordination
  • Support financial and administrative processes including expense claims, contracts, invoices, requisitions, and reporting
  • Maintain organized filing systems and recommend improvements to enhance efficiency
  • Stakeholder Communication
  • Serve as a key point of contact, managing inquiries and directing requests appropriately
  • Facilitate communication across internal teams and external partners
  • Project & Event Support
  • Assist with committees, special projects, and events
  • Support the development of communication materials and event coordination
  • Collaboration & Team Support
  • Participate in administrative communities of practice
  • Provide cross-coverage and support to other executive and senior administrative assistants

What You Bring

Education & Experience

  • 3-year college diploma (required); university degree preferred
  • Minimum 5 years of progressive experience supporting senior leaders in a complex environment
  • Experience managing a high-volume, fast-paced office or supporting complex projects

Technical Skills (Preferred)

  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, SharePoint, OneNote, Copilot)
  • Experience with systems such as SAP, KRONOS, WebEx, Adobe Pro, Citrix and other enterprise tools
