Company Overview
Established in 2009, Great Triumph Immigration is a full-service immigration consulting firm located in North York, Ontario. We provide comprehensive immigration solutions, assisting clients with a broad range of temporary and permanent residence applications. Our expertise also extends to complex immigration matters, including appeals, admissibility hearings, removal proceedings, and judicial reviews.

Position Summary
We are seeking a detail-oriented and highly organized Immigration Assistant to support our team in delivering exceptional client service. In this role, you will play a key part in coordinating application preparation, managing client communications, and maintaining accurate and well-organized case files. You will work closely with lawyers and immigration consultants to ensure that all applications are complete, accurate, and submitted in a timely manner.

This position requires strong bilingual communication skills in English and Mandarin, the ability to manage multiple priorities in a fast-paced environment, and a high level of professionalism and confidentiality.

Key Responsibilities

· Prepare, format, and assemble application packages, including forms, submission letters, and supporting documentation, ensuring accuracy and completeness.

· Review client documents to identify missing or inconsistent information, and follow up with clients to obtain required materials.

· Communicate with clients in English and Mandarin to provide application updates, request documentation, and respond to general inquiries.

· Manage incoming calls, emails, and correspondence, and direct inquiries to the appropriate lawyer, consultant, or team member.

· Schedule and coordinate client consultations, meetings, and follow-ups, and maintain calendars.

· Maintain and organize electronic and physical client files, ensuring accurate record-keeping and strict confidentiality.

· Track application progress, document requests, and key deadlines, and send timely reminders to clients and internal staff.

· Assist in preparing invoices, retainer agreements, and payment records, and support basic administrative tracking.

· Coordinate communications with external parties, including government offices, educational institutions, and employers, as directed.

· Provide general administrative support to ensure efficient daily office operations.

Qualifications

· Bilingual proficiency in English and Mandarin (required)

· College diploma or higher in Law Clerk, Legal Assistant, Business Administration, Office Administration, or a related field (preferred)

· Strong organizational skills with exceptional attention to detail

· Excellent written and verbal communication skills

· Ability to manage multiple priorities and meet deadlines in a fast-paced environment

· Proficiency in Microsoft Office (Word, Excel, Outlook)

· Previous experience in an immigration or legal office is considered an asset

· Working knowledge of Canadian immigration processes and procedures is preferred

Work Location
This is an in-person position based at our North York office (Yonge & Sheppard), conveniently accessible by public transit.
