Position Title: Assistant Wellness Manager
Department: Operations
Reports To: Operations Manager
Employment Type: Full-Time
Primary Location: Sherwood Park
Travel Requirement: 1 day per week to St. Albert and Spruce Grove clinics
Schedule: Monday–Friday, 8:00 AM–4:00 PM
Compensation: Starting at $30.00/hour

Position Summary

The Assistant Wellness Manager is a key operational leader responsible for supporting daily clinic operations, team performance, and exceptional client experiences. This role serves as a bridge between front-line teams, clinical operations, and leadership to ensure workflows are efficient, standards are maintained, and business goals are achieved.

The Assistant Wellness Manager provides leadership, coaching, training support, scheduling oversight, workflow optimization, and cross-functional collaboration. This position plays an important role in supporting BHRT operations, improving team performance, enhancing client satisfaction, and contributing to overall clinic growth.

The successful candidate will be a hands-on leader who can balance operational responsibilities with team development, problem-solving, and continuous improvement initiatives.

Key Responsibilities

Leadership & Team Support

  • Provide daily leadership, guidance, and operational support to team members
  • Assist with onboarding, training, mentoring, and workflow coaching
  • Reinforce clinic protocols, standards, and expectations
  • Provide constructive feedback and support team development
  • Assist with staffing coverage and schedule adjustments
  • Promote a positive, professional, and collaborative team culture
  • Monitor internal communication platforms (Google Chat, Teams, etc.) and respond to operational questions, concerns, and escalations

Scheduling & Operational Oversight

  • Monitor Zenoti schedules, provider utilization, and clinic capacity
  • Identify and resolve scheduling gaps, inefficiencies, and workflow challenges
  • Support appointment management and daily operational flow
  • Communicate cancellations, changes, and operational updates promptly
  • Maintain productivity goals across departments

Scheduling responsibilities include:

  • Managing staff schedules across Zenoti, Payworks, and internal scheduling systems
  • Coordinating time-off requests, sick coverage, and staffing adjustments
  • Ensuring appropriate staffing levels across all locations and service streams
  • Supporting BHRT, New Patient Intake, and Client Care team coverage
  • Ensuring workspace readiness and operational preparedness

BHRT Program Support

  • Complete BHRT training and maintain competency in clinic protocols
  • Support client education, communication, and follow-up processes
  • Ensure documentation and charting standards are maintained
  • Assist with BHRT workflow improvements and program development
  • Support consistency and quality within the client care journey

Client Experience & Service Excellence

  • Maintain exceptional client service standards across all departments
  • Support resolution of client concerns and service recovery
  • Escalate concerns appropriately when needed
  • Ensure timely client communication and follow-up
  • Identify opportunities to improve client satisfaction and retention

Administrative & Operational Excellence

  • Support implementation of policies, procedures, and compliance requirements
  • Monitor workflow completion and team accountability
  • Assist with inventory, clinic readiness, and operational projects
  • Maintain documentation and administrative standards
  • Support reporting, audits, and operational reviews
  • Review staff time sheets prior to payroll and ensure accuracy

Business Growth & Performance

  • Support clinic growth initiatives and program launches
  • Assist with client retention, rebooking, and engagement strategies
  • Promote clinic services and programs appropriately
  • Support productivity, utilization, and revenue goals
  • Identify opportunities for improved efficiency and operational performance

QUALIFICATIONS

Required

  • Minimum 3 years of leadership, supervisory, or management experience
  • Strong customer service and client relationship experience
  • Excellent communication and interpersonal skills
  • Strong organizational skills with the ability to manage multiple priorities
  • Strong problem-solving abilities and attention to detail
  • Proficient computer and administrative skills
  • Ability to lead by example and promote accountability within a team

Preferred

  • Experience in healthcare, wellness, medical aesthetics, or multidisciplinary clinics
  • Experience with Zenoti, TELUS CHR, and healthcare scheduling systems
  • Background in IV therapy, hormone health, or wellness services
  • Experience with team coaching, development, and performance support
