Position: Parts and Inventory Specialist | Location: Milton, ON (401 & James Snow Parkway)

Position Summary:

We are seeking a highly organized and detail-oriented Parts & Inventory Coordinator to join a well-established Canadian organization with a longstanding reputation for operational excellence. This hands-on role is responsible for coordinating parts procurement, managing inventory, and supporting warehouse operations to ensure parts are sourced, received, and distributed efficiently.

This role supports a busy fleet maintenance and refurbishment operation focused on bus and heavy vehicle service. The successful candidate will play a key role in ensuring required parts are available to meet service and project timelines.

Key Responsibilities:

Procurement

  • Identify and source required parts using manufacturer catalogs, parts diagrams, and digital lookup systems
  • Build and maintain strong relationships with OEM and aftermarket parts suppliers
  • Request and compare vendor quotations to ensure cost efficiency
  • Coordinate delivery timelines with service and project requirements
  • Enter and manage purchase orders within the procurement system

Inventory Coordination

  • Work closely with shop supervisors to ensure parts availability for ongoing work
  • Allocate and distribute stock items to active work orders
  • Monitor outstanding or delayed orders and follow up with vendors
  • Process returns for incorrect or defective items
  • Maintain accurate stock levels and assist in improving inventory organization and tracking processes

Warehouse Operations

  • Receive and unload incoming shipments
  • Organize and store materials within warehouse inventory systems
  • Record inventory in the digital tracking system
  • Assign parts to work orders and maintain accurate inventory records

Reporting & Support

  • Provide weekly updates on parts availability and supply chain issues
  • Support department operations through administrative coordination

Job Requirements

  • Experience in automotive, truck, bus, or heavy equipment parts procurement
  • Proficiency with Microsoft Office and inventory management systems
  • Strong attention to detail and organizational skills
  • Ability to follow established processes and procedures
  • Commitment to maintaining a safe workplace
  • Eligibility to work in Canada and strong English communication skills

Preferred Qualifications

  • 2+ years experience in a vehicle parts department (bus, truck, or automotive preferred)
  • Strong organizational and time management abilities
  • Professional written and verbal communication skills
  • Flexibility to adjust hours when operational needs require
  • Ability to lift up to 60 lbs and perform physical tasks such as standing or bending

We work out of a bright, clean, and modern shop full of state-of-the-art equipment. We have a great working environment that is non-unionized, with many long-term employees.

  • Our facility is just off the Highway 401 in Milton – easy commuter access.
  • Shifts are Monday to Friday from 6:30 AM – 3:30 PM - no nights or weekends!!!!
