Transcription Production Coordinator - available immediately

This is an in-office job.

This position is in a fast-paced professional environment in our transcription department processing transcription orders and invoicing for services.

You must be adept at working effectively with our clientele and service providers while displaying tact, diplomacy and a high level of confidentiality.

The ideal individual will have above-average time management skills and the ability to prioritize and re-prioritize as new tasks are received. Must excel at working under pressure with multiple tasks on the go, shifting timelines and priorities. The ability to remain calm and focussed while meeting deadlines is critical.

Responsibilities:

  • Ability to review in advance conflicts and staying on top of a constantly changing schedule
  • Efficiently manage and promptly respond to all incoming inquiries/requests for information independently or re-direct to the appropriate person/area
  • Receive, direct and respond to telephone messages/email messages
  • Consistently exercise discretion in managing correspondence, information and all matters of confidentiality; escalate issues where appropriate
  • Service transcription/job orders from start to finish, including dealing with clients and service providers, quality control oversight, and basic invoices to clients.
  • Perform basic administrative tasks such as photocopying, scanning and filing

Experience and skills required:

  • Excellent English, both spoken and written
  • Understanding of department workflow
  • Excel at managing multiple priorities and changing priorities
  • Ability to stay calm and friendly under pressure
  • Attention to detail
  • Strong communication skills; the ability to be proactive vs reactive
  • Proficient with Microsoft Office
  • Ability to learn new computer programs,
  • Very strong organizational skills
  • Close attention to detail, ensuring all documentation, spelling, grammar and other information is accurate
  • Strong listening and processing skills; able to stay focused and on task
  • Excellent follow-up skills
  • Not afraid to ask for help when required
  • One year previous administration experience
  • Polished and professional
