We are a small independent advisory team at WFM looking to grow with just the right people. We’re hiring an Administrative Assistant who wants a flexible, work hard/play hard lifestyle. This role is about taking ownership, putting in the time when it’s needed, and enjoying real flexibility and time off in return.

Key responsibilities

The Financial Advisor Assistant will support advisor/s in preparing client meetings, compiling financial information, and updating client files and records in a timely and accurate manner. Responsibilities include assisting with investment account documentation,

processing trades and paperwork, responding to client inquiries, coordinating appointments, and communicating status updates to both advisors and clients. The Financial Advisor Assistant will also help with basic financial planning tasks, maintain compliance with regulatory requirements, and contribute to the overall efficiency of the advisory practice, transactions, preparing reports, and monitoring follow-ups to ensure a smooth client experience.

· Administrative/office experience is an asset, but attitude and work ethic matter most

  • Knowledge of Financial Services and Investments, including familiarity with common investment products and industry regulations is preferred.
  • Excellent Communication skills, both written and verbal, to interact professionally with clients, advisors, and internal partners.
  • Post-secondary education in finance, business, economics, or a related field preferred; relevant industry courses or certifications are an asset (e.g., Canadian Securities Course).
  • High attention to detail, strong organizational skills, and the ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with office productivity software and comfort learning new digital tools and platforms.
  • Client-focused mindset, professional demeanor, and the ability to work collaboratively as part of an advisory team.
