Job Title: Collective Stays Coordinator

Location: Between Canmore, Dead Man's Flats, and Harvie Heights, Alberta

Employment Type: Full-time

Reports To: Stays Operations Manager

About the Role

The Collective Stays Coordinator keeps every unit across our short-term rental portfolio spotless, well-stocked, and guest-ready. You'll oversee quality control and linen coordination for The Gem Stays in Harvie Heights (ten two-bedroom units) and Sevenfold on Main Street (a seven-bedroom unit).

You are the last set of eyes before a guest arrives and the first to catch anything that isn't up to standard. This is a hands-on role for someone detail-obsessed, dependable, and genuinely proud of a job done well — from a crisply pressed set of linens to a fully stocked coffee station.

Key Responsibilities

Quality Control & Unit Readiness

  • Inspect each unit after cleaning and before guest arrival to ensure it meets our presentation and cleanliness standards.
  • Confirm that every room is guest-ready: surfaces clean, beds properly made, amenities in place, and the overall space photo-ready.
  • Complete final walkthroughs and address any last-minute touch-ups before check-in.

Laundry Coordination & Linens

  • Oversee the laundry process across all units, working alongside our dedicated laundry team member to ensure linens, towels, and soft goods are washed, folded, and pressed to a consistent, high-quality finish.
  • Ensure the correct linens and quantities are prepared, matched to each unit, and ready for pickup on schedule.
  • Step in to assist with sorting, folding, or pressing when volume is high, someone is away, or a turnaround is tight.
  • Manage linen rotation and par levels across the Gem Stays units and Sevenfold so clean stock is always available for turnovers.
  • Maintain the quality and appearance of all textiles, flagging worn or stained items for replacement.

Restocking & Supplies

  • Replenish guest amenities, toiletries, coffee, paper goods, and other consumables between stays.
  • Monitor inventory levels and reorder or request supplies before they run low.
  • Keep storage areas organized and well-stocked for efficient turnovers.

Maintenance & Damage Reporting

  • Inspect units for damage, wear, or maintenance issues during each turnover.
  • Document and report problems promptly with clear notes and photos, and follow up to confirm resolution.
  • Help protect the properties by catching small issues before they become costly repairs.

What We're Looking For

  • Strong attention to detail and high personal standards for cleanliness and presentation.
  • Reliable and self-directed, with the organizational skills to coordinate laundry and turnovers across multiple properties and a changing schedule — and the willingness to roll up your sleeves and pitch in when needed.
  • Comfortable with physical work, including lifting linens and being on your feet throughout the day.
  • Experience in hospitality, housekeeping, short-term rentals, or a similar service role is an asset.
  • Must have a valid driver's license and a reliable vehicle to transport linens, supplies, and items between locations.
