Job Description: Medical Administrator/ Receptionist

Location: Vaughan AND Brampton OR; Vaughan and Scarborough

***Job holder must have the flexibility to work at both locations, and have a reliable means of commute. This is non-negotiable***

Compensation: $17.60 CAD to $22.00 CD-AD per hour, matching based on candidate profile

Position Overview:
We are seeking a highly skilled and compassionate Medical Administrator/Receptionist to join our dynamic eye care team. The successful candidate will play a critical role in patient care, working closely with ophthalmologists, optometrists, and other healthcare professionals to provide comprehensive care to patients of all ages.

Key Responsibilities:

  • Complete accurate documentation of patient visits.
  • Maintain confidentiality of all doctors, optometrists, opticians, staff, and patient information.
  • Manage business inventory by checking supplies, scheduling equipment, and performing maintenance repairs.
  • Coordinate and book appointments.
  • Ensure patient files are updated, including necessary attachments.
  • Liaise internally and externally with clinics/hospitals to ensure bookings and files are complete.
  • Maintain and report surgical inventory (e.g., lenses).
  • Greet and attend to patients in person and over the phone.
  • Schedule appointments on the EMR system for doctors, optometrists, and patients.
  • Professionally assist doctors, staff, visitors, and patients.
  • Answer phone calls in a professional and courteous manner.
  • Provide eye care information to patients as needed.
  • Liaise between departments with discretion and professionalism.
  • Communicate medical results to patients under clinical supervision.
  • Adhere to policy and procedures during all activities.
  • Handle daily reporting and communication through fax/email to referral doctors, optometrists, hospitals, and offices.
  • Perform all duties within HIPAA regulations.
  • Operate ophthalmic instruments and/or equipment (training will be provided).
  • Assist in various departments, including the front desk, diagnostic rooms, exam rooms, OR rooms, and customer care.

Qualifications & Experience Required:

  • Fluent English language skills (any additional language is an asset).
  • Bachelor’s degree or 2-year diploma in a related field, or an acceptable combination of education and experience.
  • 2 years of experience in a healthcare setting.
  • Experience in the field of ophthalmology is preferred.
  • Previous experience at an ophthalmic clinic is a strong asset.
  • Knowledge of OSCAR EMR is a strong asset.
  • Administrative experience working with data and files in a fast-paced environment, preferably in healthcare.
  • Inventory experience is an asset.
  • Excellent communication skills, both oral and written, and proficient computer skills.
  • Positive attitude, pleasant and professional manner in person and over the phone.
  • Alignment with company values.
  • Availability to work evenings and weekends as needed.
