Patient Experience Manager Job in Toronto, ON

PhysioPlus Health Group is hiring for a Patient Experience Manager job in Toronto, ON, and we’re looking for someone with the administrative chops and the ambition to grow into a bigger leadership role. This full-time, salaried position reports directly to our Operations Manager and is structured as a deliberate leadership development track: you’ll start with hands-on training in our day-to-day front and back office operations, then move through an educational program built to prepare you to step into the Patient Experience Manager role.

PhysioPlus Health Group has been treating the Bloor West community since 2001, and our clinic has grown into a multidisciplinary practice that brings together sports medicine physicians, physiotherapists, an orthopaedic surgeon, and specialists in pelvic health, osteopathy, chiropractic, and massage under one roof. You’ll be joining an established team with real roots in this neighbourhood, not a start-up still figuring things out.

What You’ll Actually Be Doing

Day to day, you’ll supervise our administrative team, lead weekly team meetings, and help onboard and train new front desk staff — all while making sure patients feel taken care of from the moment they walk in. You’ll manage bookings, handle cancellations, and step in when a patient complaint or a scheduling conflict needs a level head. On the back office side, you’ll get exposure to accounts receivable, monthly reporting for our bookkeeper, and inventory management, so you’re learning the full picture of how a clinic runs, not just one corner of it.

This role is designed with a growth path in mind: as you learn the ropes, you’ll get mentorship from our Operations Manager and exposure to both the clinical and business sides of running a practice.

Compensation:

  • $60,000–$70,000 CAD per year

Education: high school

Qualifications:

  • Minimum 2 years clinical administrator experience
  • Proven experience as an office manager or in a similar administrative role
  • Strong attention to detail and accuracy
  • Effective communication skills, both verbal and written
  • Ability to multitask and prioritize tasks in a fast-paced clinic environment
  • Knowledge of payroll processes and experience with payroll software
  • Excellent organizational and time management skills
  • Knowledge of QuickBooks or other accounting software is a plus
  • Familiarity with TELUS portal and MVA billing is a plus

Front Office:

  • Supervise administrative team members and ensure everyone follows office protocols and policies
  • Maintain a positive attitude that promotes teamwork and motivates the team to achieve their goals
  • Lead weekly administrative team meetings that keep the team engaged, informed, and appreciated
  • Onboard, train, supervise, and evaluate administrative staff
  • Reach production goals through effective booking and by engaging the team toward shared targets
  • Make a positive and lasting impression on patients from arrival to departure
  • Provide customer service that exceeds expectations
  • Book appointments, manage potential cancellations, and take payment
  • Ensure the facility and equipment are well maintained and the office presents a professional image
  • Handle patient complaints and no-show/late cancellations
  • Provide administrative support to clinicians
  • Maintain composure under pressure and during times of change

Back Office:

  • Control accounts receivable
  • Assist with hiring administrative staff
  • Prepare monthly reporting for the bookkeeper
  • Oversee inventory management and ordering
  • Manage front desk and clinic scheduling to ensure optimal efficiency
